    Under the direct supervision of the Executive Director this position provides administrative support for the company as needed. Welcomes visitors by greeting them, in person or on the telephone, answering or referring inquiries. Directs visitors by maintaining employee and department directories, giving instructions. Maintains security by following procedures, monitors visitor logs. In addition to answering phones and scheduling, assists with occasional coordination of meetings and conferences, and working on special projects as requested. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization.

    General Accountabilities

    Coordinates office activities and operations to ensure efficiency and adherence to company policies.

    Administer front desk operations - answering phones, greeting visitors, screen calls etc.

    Helps with general cleaning of the office and break areas in coordination with building maintenance (i.e. dusting, occasional vacuum and reporting any required repairs to building management)

    Assists with inventory of office, breakroom, and cleaning supplies, and maintain MSDS

    Helps with preparing samples and accompanying documentation

    General administrative duties: data entry, creating memorandum, taking meeting minutes, scanning, copying and filing documents

    Coordinates daily incoming and outgoing mail and small parcel packages

    Support various departments including sales and accounting to keep organized records

    Occasionally decorate the office during certain holidays

    Performs other related duties as assigned by management

    Job Qualifications

    Education: High school diploma or equivalent. College degree is highly desirable

    Experience: 2 to 3 years of related experience.

    Knowledgeable of Basic Office Operations and Procedures

    Able to operate a computer, multi-line phone, fax, scanner and copier
