As a Front Desk Office Specialist you will ensure high quality healthcare to all patients and visitors. The front office specialist aids all patients and visitors by performing administrative and general housekeeping duties. He or she will interact directly with patients to accurately check patients in and out, verifying insurance, collecting payments, signature forms, and maintain patient records and accounts while remaining HIPAA compliant.
ETHICS AND COMPLIANCE: Is responsible to detect, observe and report compliance variances to their immediate supervisor, or upward through the chain of command.
ESSENTIAL FUNCTIONS:
· Prepare the clinic for opening each day by reviewing and opening all system applications and preparing new patient registration packets and required documents.
· Responsible for greeting all patients and visitors in a personable and energetic manner upon entering the clinic.
· Check patients in and out of the clinic and confirm that the necessary documentation was collected.
· Respond promptly to patient or visitor needs.
· Obtain all patient consents and registration packets.
· Obtain copies of insurance and identification cards.
· Completes and confirms medical insurance eligibility on each patient and documents this thoroughly into EMR.
· Answer, screen, and distribute all phone calls to the appropriate department.
· Explain financial requirements to patients and collect co-pays, deductibles, co-insurance, or past due balances when applicable.
· Balance daily patient charges (cash, checks, credit cards) against patient day sheet reports.
· Facilitate patient access to appropriate medical and specialty providers.
· Educate patients and family/caregivers about relevant community resources.
· Clean exam rooms in between patients when applicable.
· Keep the waiting room tidy including rearranging and wiping down chairs and side tables, sweeping the floor, keeping the bathrooms properly stocked with paper products and soap.
· Be a supportive team player for all co-workers.
· Multi-task in a fast-paced work environment while remaining organized and professional.
· Scheduling for outpatient diagnostic services outside of clinic.
· Sort incoming faxes and allocate to appropriate department(s).
· Obtaining preauthorization when deemed necessary.
· Review and clear voice mail box.
· Maintain a neat and clean work environment and professional appearance.
· Complete closing procedures by preparing closing documentation and submitting all required reports.
· Other duties and responsibilities as assigned by office manager or provider.
EDUCATION: High School Diploma. Medical Assistant degree/ certificate. College courses in Medical Terminology.
JOB REQUIREMENTS: Must have an active basic life support certification and must always be kept up to date.
EXPERIENCE: Must be able to communicate clearly and effectively, both verbally and in writing, with a broad range of professionals and people. Must have ability to adapt to changing schedules, deadlines and demands, while balancing a heavy workload. Must have experience with office equipment, such as copiers, fax machine, scanners and computers including familiarity with office software.
SKILLS: Must have excellent listening and communication skills, both verbal and written. Must be well-organized and able to manage time efficiently while coping with last minute changes and difficult situations. Must always maintain confidentiality while adhering to expectations of employee handbook.
WORKING CONDITIONS: Work hours are rotational shifts from 8:45 a.m. to 9:00 p.m.; and rotational weekend and holiday shifts.
PHYSICAL DEMANDS: The ability to speak clearly, hear clearly, and see clearly. This position may require some lifting.
