  • Responsibilities

    We are looking for a Front Office Manager who will be responsible for administering front office functions and supervising staff on a daily basis. This will include but not be limited to Front office, Guest Services, and Front Desk. Position works with General Manager and employees to carry out procedures ensuring an efficient check in and check out process. Ensures guest and employee satisfaction and maximizes the financial performance of the Hotel.

    Core work activities: A strong level of computer skills is required, including flexibility with the schedule (able to work day and night shifts, weekends, and holidays) and consistently offer professional, friendly, and engaging service. Responsible for the smooth and efficient operation of the front desk, guest services, and the profitability made from room revenue.

    Duties and Responsibilities include the following. Other duties may be assigned at the discretion of the General Manager.

    · Provides direction and leadership to associates at the front desk.

    · Provides courteous guest service by responding promptly and efficiently to inquiries, requests, complaints, and by accurately processing guest messages.

    · Process all incoming and outgoing reservation and cancellation requests in a timely manner by mail, telephone, and in person.

    · Assists guests during all aspects of their stay to include accurate check in and check out.

    · Communicates with Housekeeping to ensure that all cleaned rooms are entered into the computer system.

    · Acts as Manager on Duty.

    · Responsible for assisting the General Manager with room inventory control and maximizing room revenue.

    · Assists with Hotel Sales in all areas including sales calls, room blocks and marketing programs.

    · Coordinates the delivery of guest services by all hotel departments.

    · Make recommendations regarding front desk budget and manages expenses within approved budget constraints. Responsible for the inventory, purchasing, disbursement, and cost control for all front desk items.

    · Manages the human resources function in all areas of the front desk in order to attract, retain, and motivate associates: hire, develop, empower, coach and counsel, conduct performance reviews, resolve problems, and provide open communication for all associates.

    · Schedules associate’s in accordance with forecasted occupancy, adjusts staffing as necessary for sudden changes in business levels. Covers shifts of absent associates.

    · Maintains information and communication sources.

    · Assist in developing emergency action plans, and coordinate with other departments to implement plans.

    · Attends all meetings as required.

    · Follows established safety procedures.

    · Provides assistance to other departments of the hotel to contribute to its smooth operation.

    · Maintains a clean, pleasant, and professional image to guests and associates.

    · Complies with all hotel policies and procedures.

    Education/Experience:

    High school diploma or general education degree (GED); Two years related experience and/or training; or equivalent combination of education and experience. General knowledge of bookkeeping and auditing procedures required.

    Language Ability:

    Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

    Math Ability:

    Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

    Reasoning Ability:

    Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

    Computer Skills:

    A strong level of computer skills is required to perform this job successfully, an individual should have basic knowledge of computer software and hardware.

    Supervisory Responsibilities:

    Directly supervises employees. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
