    Job Summary

    Reporting directly to the Clinic Supervisor, the Front Office Assistant assists in the care and services of CIBD patients across the continuum of illness; promotes and monitors effective utilization of health care resources; and, assumes an assistive role with the multi-disciplinary care team to achieve optimal clinical and resource outcomes. The Front Office Assistant provides Team Center Care in a collaborative setting in accordance with the standards and regulations for California Children’s Services (CCS).

    Essential Job Duties

    The Front Office Assistant ensures CIBD patients have a complete chart by: uploading incoming documentation promptly and accurately; checking eligibility prior to scheduled appointments; following up with patients and/or their legal guardians to verify demographics and insurance information; and, verifying consents, authorizations and all other legal documents are accurate and up-to-date.

    The Front Office Assistant acts as the direct point of contact between CIBD and the patients by: answering and directing calls to appropriate staff as needed; scheduling patient visits in accordance with the clinic policies and procedures; processing patient payments; calling patients for follow-up appointments and other CIBD business; sending emails, portal messages and written documentation to patients as needed for the physicians and staff; and, collaborating with community physicians, insurance companies and other referring agencies to ensure new patient documentation is complete for an efficient transition to our care.

    The Front Office Assistant collaborates with the Administrative Assistant and Authorizations Coordinators to provide cross-coverage of duties and ensure all administrative duties of the clinic are covered.

    Required Education/Experience/Skills:

    High School Diploma or GED

    1 year of experience as a front office assistant in a medical setting or medical receptionist

    Preferred Education/Experience/Skills:

    Graduation from an accredited school of Medical Assisting

    Experience in outpatient community clinic environment

    Bilingual in Spanish

    Licensure/Certification/Registration:

    Basic Life Support

    HIPAA training

    Current CA Medical Assistant Certificate (preferred)

    Compensation offered will be determined by factors such as location, level, job-related knowledge, skills, and experience.

    About the Organization The Center for Comprehensive Care & Diagnosis of Inherited Blood Disorders (CIBD), a 501(c)3 non-profit organization, is committed to providing comprehensive care for patients and their families with rare, chronic inherited blood disorders. CIBD is a part of a nationwide network of over 140 Hemophilia Treatment Centers that use multidisciplinary teams of blood disorder specialists to provide expert comprehensive diagnosis, medical care, outreach, education, outcomes monitoring, surveillance, and prevention services to people with hemophilia, Sickle-Cell Anemia, Thalassemia, Von Willebrand Disease, and other related hematology conditions. CIBD is the regional grantee for the Western States Region/Region IX providing regional leadership, fiscal and administrative oversight, grants management, capacity building, clinical education, technical assistance, evaluation, and outreach to public and private health agencies at the local, state, and federal levels.
