    Job Summary:

    We are looking for a friendly and organized Front Office Coordinator to be the first point of contact for our dog daycare facility. This role combines excellent customer service with administrative tasks to ensure a seamless experience for our clients and their pets. You will manage appointments, answer inquiries, handle customer accounts, and assist with various front-desk responsibilities. The ideal candidate loves working with people and pets, has strong communication skills, and is comfortable multitasking in a fast-paced environment.

    Key Duties and Responsibilities:

    Customer Interaction:

    Greet customers and their pets in a welcoming and professional manner.

    Answer phone calls, emails, and in-person inquiries about services, scheduling, and policies.

    Provide detailed information about daycare, boarding, grooming, and training services.

    Assist customers with check-in and check-out procedures, including completing required forms and confirming reservations.

    Escort checked-in dogs to the care attendants to ensure a smooth transition into the daycare facility.

    Escort checked-out dogs to customers at pick-up, providing updates on their activities and behavior during their stay.

    Administrative Tasks:

    Schedule and manage appointments for daycare, boarding, grooming, and training services.

    Maintain accurate records of customer and pet information in the facility's database.

    Process payments, issue receipts, and manage customer accounts.

    Ensure all paperwork, including vaccination records, is up-to-date and filed appropriately.

    Facility Support:

    Communicate with dog care staff to relay important information about pets, such as special needs or behavioral notes.

    Monitor and manage the front-desk area, ensuring it is clean, organized, and presentable.

    Assist with maintaining inventory for retail products and facility supplies.

    Problem Resolution:

    Handle customer complaints or concerns with professionalism and escalate issues to management when necessary.

    Address pet emergencies or customer issues promptly and coordinate with staff to resolve them.

    Other Duties:

    Provide light support to dog care staff during peak times or special events.

    Assist in promoting and selling retail products or additional services.

    Perform additional duties and responsibilities as assignment by management.

    Requirements and Qualifications:

    High school diploma or equivalent.

    Previous experience in customer service, receptionist, or administrative roles (experience in a pet care environment is a plus).

    Excellent verbal and written communication skills.

    Proficient in using office software (e.g., Microsoft Office, scheduling tools) and comfortable learning new systems.

    Strong multitasking and organizational skills.

    Friendly, professional demeanor with a passion for animals.

    Ability to remain calm and problem-solve in high-pressure situations.

    Working Conditions:

    This position involves frequent interaction with customers and their pets. You may be required to stand or sit for extended periods and handle occasional pet-related messes or emergencies. Weekend and holiday availability may be required.
