    The Office Manager plays a crucial role in ensuring the smooth operation of the private psychiatric practice. They are responsible for overseeing administrative tasks, managing office staff, maintaining patient records, and facilitating communication between staff members and patients. Responsibilities: Administrative Oversight: • Manage day-to-day operations of the office, including scheduling appointments, managing calendars, and coordinating meetings. • Oversee billing and insurance processing, ensuring accuracy and timeliness. • Maintain office supplies and equipment, ordering as needed to ensure uninterrupted workflow. • Develop and implement office policies and procedures to streamline operations and enhance efficiency. Staff Management: • Supervise office staff, providing guidance, training, and support as needed. • Conduct regular performance evaluations and provide feedback to staff members. • Handle scheduling, time-off requests, and other personnel matters in collaboration with the practice manager or owner. Patient Relations: • Welcome and assist patients, ensuring a positive and welcoming experience. • Address patient inquiries and concerns promptly and professionally. • Maintain patient records and ensure compliance with confidentiality regulations (HIPAA). Financial Management: • Monitor accounts receivable and follow up on outstanding balances. • Prepare financial reports and assist with budget planning as needed. • Coordinate with the billing department or external billing service to ensure accurate and timely submission of claims. Communication and Coordination: • Serve as a liaison between staff members, patients, and external stakeholders. • Facilitate communication between clinical and administrative staff to ensure coordinated patient care. • Collaborate with other departments or healthcare providers as needed to coordinate patient referrals and follow-up care. Qualifications: • Proven experience in office management or healthcare administration, preferably in a psychiatric or mental health setting. • Strong organizational skills and attention to detail. • Excellent communication and interpersonal skills. • Proficiency in office software and electronic health records (EHR) systems. • Knowledge of healthcare billing and insurance processes. • Ability to maintain confidentiality and adhere to ethical standards in handling sensitive information. Compensation: $18 - $20 per hour
