Levenson Eye Associates is a multisite ophthalmology practice with locations throughout the Jacksonville metropolitan area. Our experienced and skilled caregiver team specializes in the management of all eye related diseases. We use the most advanced technology available to provide the highest quality care to our patients and improving the health and well-being of the communities we serve.
Position Summary: The Front Office Manager is responsible for overseeing the front desk staff and medical records team across five ophthalmology practice locations. This role ensures efficient patient registration, scheduling, insurance verification, and records management while delivering a high-quality patient experience. The Front Office Manager will develop policies and procedures, manage staff performance, and collaborate with other departments to ensure smooth practice operations.
Schedule: Full-time, Monday – Friday, with some flexibility to travel between five locations. Must be able to address operational issues at multiple sites as needed. Clinic Hours are 7:00 am to when the last patient checks out.
Job Responsibilities
Leadership & Staff Management:
· Supervise, train, and evaluate front desk and medical records staff across all five locations.
· Develop and enforce standard operating procedures (SOPs) for patient access workflows.
· Monitor staff performance, provide coaching, and conduct performance evaluations.
· Manage staffing schedules, timecards, and time off requests.
· Foster a professional and patient-focused environment, ensuring staff adhere to company policies.
Front Desk Operations:
· Oversee patient registration, check-in/check-out, and scheduling to ensure efficiency and accuracy.
· Ensure timely and accurate insurance verification and prior authorizations.
· Implement and monitor front desk customer service standards to enhance patient satisfaction.
· Address and resolve patient complaints and escalations related to scheduling or front desk interactions.
Medical Records Management:
· Ensure HIPAA compliance and proper handling of protected health information (PHI).
· Oversee the scanning, organization, and retrieval of medical records.
· Implement and enforce record retention policies in accordance with legal requirements.
· Collaborate with clinical and billing teams to ensure accurate and timely documentation.
Operational & Administrative Duties:
· Track and report key performance indicators (KPIs) for patient access and medical records efficiency.
· Work in collaboration with billing, and benefits verification and eligibility teams to reduce registration and insurance-related errors.
· Standardize front desk and medical records processes across all locations for consistency.
· Assist Practice Administrator with managing patient satisfaction surveys within the Satisfied Patient Dashboard
· Manage direct reports timecards and time off requests within the payroll system.
· Participate in management meetings and assist with operational improvements.
Qualifications & Requirements:
Education: Bachelor's degree in healthcare administration, business, or related field preferred.
Experience: Minimum of 3-5 years of experience in medical office management, patient access, or front office supervision. Experience in ophthalmology is a plus.
Skills:
o Strong leadership and team management abilities.
o Excellent customer service and conflict resolution skills.
o Proficiency in PM / EHR/EMR systems (experience with ophthalmology software preferred).
o Strong knowledge of insurance verification and prior authorizations.
o Understanding of HIPAA regulations and compliance.
