Under the supervision of the HR Director this position will be responsible for greeting clients, volunteers, and visitors when they arrive at the main office, assisting them with their visit, and directing individuals of various programs to the appropriate department. As such, discretion, empathy and a courteous attitude are a must. Other job duties include answering phones and emails, organizing files, and making copies.
Essential Duties
Be the first point of contact for visitors to the organization extending a warm welcome to callers including clients, visitors, volunteers, contractors, and delivery service providers.
Answer multiple phone system, manage calls by routing them to the proper extensions or taking messages and delivering them within our message system along with setting up conference calls as requested.
Manage the opening of the office (unlock doors, turn on lights, prepare for the day).
Receive mail deliveries, packages, and couriers.
Take a lead role in setting up rooms for meetings and interviews as directed.
Handle filing and data entry as requested.
Develop ideas to enhance and promote the reception area.
Any other duties commensurate with the level of the post.
Education, Experience and Knowledge
High school diploma or equivalent.
The ability to be courteous, kind and discreet to those seeking services.
Ability to multi-task.
At least two years of training or experience in customer service and office work.
Proficient with Microsoft Office and Google Suite.
Reliable with patience and professionalism.
Excellent time management and communication skills.
Strong verbal and written communication skills.
A willingness to learn and to grow with organization.
