    Mueller Landscape Inc. is a well-established landscape maintenance company serving San Diego County. We specialize in residential yard care, sprinkler repairs, cleanups, and gardening services. With a growing team and expanding client base, we are seeking a proactive and organized Office Manager to oversee our daily operations and support our mission to deliver outstanding customer service.

    Position Summary

    The Office Manager plays a key leadership role in the organization and administration of our business operations. This person will manage the front office, oversee administrative staff, and ensure the smooth handling of customer communication, lead management, billing, payroll, and internal coordination using our integrated CRM platforms.

    Key Responsibilities

    Team & Office Management

    Supervise and support office staff, including virtual assistants and customer service reps

    Ensure workflows are efficient and deadlines are met

    Monitor team performance and help implement improvements

    Maintain a positive, productive office environment

    CRM & Systems Management

    Learn and manage our CRM platforms: Monday.com, CopilotCRM, and QBO

    Ensure accurate data input and tracking across all systems

    Coordinate updates, integrations, and reporting from CRMs

    Customer & Lead Management

    Handle inbound calls, emails, and customer service inquiries

    Track leads from advertising channels and assign follow-ups

    Ensure timely and professional communication with clients and prospects

    Maintain customer records and project updates

    Billing & Payroll

    Oversee customer invoicing, payment processing, and collections

    Coordinate payroll submissions with accuracy and timeliness

    Track hours and resolve discrepancies with field staff and supervisors

    Maintain confidentiality of sensitive financial and personnel data

    Administrative Operations

    Manage scheduling coordination between departments

    Assist with onboarding of new hires and administrative support

    Order office supplies, manage vendor communication, and handle mail

    Qualifications

    Proven experience in office management, preferably in a service-based industry

    Familiarity with CRM systems and cloud-based tools (experience with Monday.com and QuickBooks Online a plus)

    Strong communication and leadership skills

    Detail-oriented with excellent organizational abilities

    Ability to multitask and adapt in a fast-paced environment

    Professional, courteous, and customer-focused demeanor

    Bilingual (English/Spanish) a plus
