We are seeking an experienced and highly organized MedSpa Concierge to join our dynamic team. This full-time role is crucial in ensuring a seamless patient experience while handling various administrative duties. As the first point of contact for our clients, you will provide outstanding service and support daily operations at our very busy location.

Key Responsibilities:

• Greet clients warmly, manage check-ins/check-outs, and assist with scheduling appointments.
• Handle phone calls, emails, and inquiries with professionalism and efficiency.
• Manage daily administrative tasks, including maintaining patient records, handling payments, and coordinating with providers.
• Assist in managing the spa's inventory, ordering supplies, and maintaining a clean, organized environment.
• Educate clients on available services, memberships, and promotions, ensuring they feel informed and confident in their choices.
• Support marketing efforts by managing social media inquiries, assisting with content scheduling, and coordinating patient photos (with consent).
• Handle operational tasks such as preparing treatment rooms, managing vendor communications, and supporting event coordination.

Qualifications:

• Minimum of 2 years of experience in a customer service role , preferably in a medical spa, luxury hospitality, or healthcare setting.
• Strong administrative and organizational skills with the ability to multitask in a fast-paced environment.
• Proficiency in scheduling software, EMR systems, and Microsoft Office Suite (experience with Aesthetic Record, Zenoti, or similar platforms is a plus).
• Excellent communication and interpersonal skills with a warm, patient-centered approach.
• Ability to manage confidential information with discretion and professionalism.
• Passion for aesthetics and wellness, with a desire to learn and grow in the industry.
