    Job Description

    The Geena Davis Institute on Gender was founded in 2004 by Academy Award Winning Actor Geena Davis.  The Institute is the only research-based organization working collaboratively within the entertainment industry to create gender balance, foster inclusion, and reduce negative stereotyping in family entertainment media. 

    JOB SUMMARY

    The Institute is seeking a Coordinator, Development and Operations to support the organization and its anticipated scale and expansion.  This is a full-time position based in Southern California supporting the Sr. Vice President of Development and Operations.  Although the Institute is a virtual organization, the candidate will need to be able to meet in person on a regular basis (multiple times per week) in Rancho Cucamonga, CA and/or in compliance with COVID regulations.

    REPORTS TO: Senior Vice President of Development and Operations

    JOB PURPOSE:

    To assist the SVP of Development and Operations to ensure that the business runs smoothly, communications are effective, and meetings are well organized and documented, etc.. In addition, the incumbent will be the primary support to the fundraising team on an internal and external basis.

    SCOPE: The position interacts with virtually everyone the Institute works with. This includes all internal staff, key clients, the Board of Directors, the Board of Advisors, content creators, studios, and clients (at all levels). It is also responsible for scheduling meetings across time zones as the Institute is global.

    RESPONSIBILITIES

    FUNDRAISING 60%

    ·       Coordinate meetings, calls, and large-scale presentations with donors and prospects. This position will be the point of contact for all coordination related to schedules, tech support, and meeting materials.

    ·       Assist in the management of donor relationships.

    ·       Compose business correspondence, transcribe notes during meetings, and flag action items for follow-up.

    ·       Make sure donor and prospect information is documented weekly in the donor database.

    ·       Anticipate the needs of executives in advance of meetings (ensuring the team has a presentation deck, notes, and agenda).

    ·       Support development of sponsorship and partnership proposals as needed.

    ·       Provide administrative support for events, including salons, symposiums, and other fundraising activities and events.

    ·       Prepare e-mail campaigns in MailChimp for donor appeals, communications with constituents, surveys, etc.

     

     

     

    INTERNAL INFRASTRUCTURE 40%

    ·       Support the management and onboarding of internal infrastructure systems, including human resources, benefits, procedures, contracts, document control.

    ·       Manage onboarding new staff and consultants to support .org compliance.

    ·       Manage administrative employee announcements and communications.

    ·       Coordinate staff meetings, staff recognition (including birthdays and other special occasions)  and retreats, as necessary.

    ·       Serve as point person for ordering supplies, printing, technology, donor gifts, etc.

    ·       Manage and update staff and event calendar. Alert SVP of any potential conflicts; send out reminders, as necessary.

    ·       Assist in preparing for board and committee meetings. Send out meeting reminders, document communications with board members, and help to prepare the agenda and related materials.

     

    REQUIRED QUALIFICATIONS

    ·       A self-starter and quick learner; able to take direction and keep projects on track.

    ·       Excellent writing and interpersonal skills are required.  This position will directly interact with donors, partners, and stakeholders on behalf of the Institute.

    ·       Advanced experience with G-Suite (specifically Google Sheets, Google Docs, Drive) and Microsoft Word, Excel, and PowerPoint. 

    ·       Organizational and time management skills, attention to detail, and ability to manage multiple tasks simultaneously.

    ·       Past experience with an online marketing tool like Constant Contact or Mailchimp.

    ·       At least five years progressively responsible experience in a fast-paced organization.

    ·       Ability to work within time-sensitive deadlines.

    ·       Experience working in a virtual environment; capacity to work both independently and within a team.

    SALARY

    $25 to $30 per hour based on experience and skill set.
