    Job Description

    JOB SUMMARY

    The Gift Processing Specialist is responsible for all aspects of gift giving database systems, the timely processing of donations and providing reports to various departments while ensuring the integrity, timeliness, and security of data. All activities will support the organization’s mission, culture and strategic plan objectives.

    ESSENTIAL FUNCTIONS

    • Responsible for management of donor database and the donor acknowledgement process.
    • Process and code all gifts and pledges received by the organization according to established guidelines and finance procedures.
    • Retrieve data and upload and/or process donations received through a variety of donation mechanisms.
    • Retrieve data and upload records from the donor database.
    • Prepare letters for gift acknowledgement, pledge acknowledgement, pledge payments, and billings for CEO signature, as per development policies.
    • Notify Chief Development Officer and Director of Development of major gifts for proper stewardship as per development policies.
    • Responsible for ensuring the accuracy and integrity of the data, including gift/financial and biographical information on volunteers and donors. Ensures confidentiality of records is maintained.
    • Prepare/build queries, exports, reports, annual fund donor lists, and dashboards as requested.
    • Manage the interface of data records between members of the Development team, ensuring all staff access and utilize the database according to Development policies.
    • Actively support Development and Marketing Team efforts to convert a database of stakeholders into annual supporters.
    • Develop and maintain efficient systems for data cleansing, data entry, gift processing, prospect research, relationship management and donor analytics.
    • Assist Development and Marketing team in implementation of all annual programs including direct mail, special projects, special events, fund-raising activities and staffing outside events.
    • Maintain all records, supplies, newsletters and updates for Development and Marketing team activities, events, campaigns and tours.
    • Maintain accurate registration and/or lists for special events.
    • Employ basic data mining, forecasting and statistical analysis techniques to help identify, classify, understand and cultivate prospects capable of making philanthropic contributions in support of FBEM’s mission.
    • Coordinate distribution of constituent mailings and e-communications including (but not limited to) annual reports, year-end statements, stewardship reports and newsletters.
    • Prepare Development and Finance reconciliation daily, monthly quarterly and annually, in accordance with the FBEM Finance and Development Departments and Feeding America procedures.
    • Assist in identifying any gaps in procedures and rectifying them.
    • Act as the first line of customer service for donor-related requests.
    • Responds to inquiries concerning established databases and concerning policies and procedures.
    • Dependability, reliable attendance, and the ability to adhere to critical deadlines are an essential function of this position.
    • Know and adhere to FBEM policies and procedures.

  • Qualifications

    Qualifications

    EDUCATION

    • Associates degree or equivalent is preferred with at least two to four years of data entry or database management experience required

    EXPERIENCE

    • Prior experience with non-profit fundraising database Raiser’s Edge Blackbaud RE NXT, preferred
    • Formal Donor Data Base Training preferred.
    • Expertise in the Microsoft Suite of products including Word, Excel, PowerPoint, Outlook, with emphasis on advanced skills in Word and Excel

    KNOWLEDGE, SKILLS, ABILITIES

    • Knowledgeable in prospect research and analytics.

    • Strong written and oral communication skills

    • Possess a successful track record in department operations with a focus on donor gift processing, acknowledgment and reporting.

    • Initiative and independence in carrying out responsibilities.

    • Excellent organizational skills with an ability to prioritize and manage multiple tasks and a variety of demands.

    • Strong self-motivation and the ability to work as a team member.

    • Commitment to protect FBEM’s value by maintaining a high level of confidentiality and a high degree of accuracy in record keeping.

    • Demonstrated ability to work accurately and effectively with computerized data systems.

    • Outstanding proof-reading skills and keen attention to detail.

    • Must be able to work occasional evenings and weekends when necessary.

    Additional Information

    WORKING CONDITIONS

    Work is performed in an office environment for day-to-day operations, with desk work and computer usage to organize and execute development activities. Some activities may be more physical in nature such as, event set-up requiring standing for long periods, walking, bending, and stooping. Work hours in development can vary in relation to events, food drives, dinners and outside activities throughout the community and will involve evenings and weekends.
