General Purpose
The Grant Coordinator is responsible for identifying, securing, and managing funding opportunities to support the City's programs and initiatives. Key responsibilities include collaborating with City of Moab staff to research, write, submit, and administer city-wide grants aligned with applicable planning documents and the strategic plan, as well as working with Federal, State, and local governments to develop competitive proposals and ensure successful grant administration. The role also involves monitoring compliance with funding requirements and providing regular performance updates.
This position offers flexibility for part-time or full-time engagement and can be performed in-person or partially remotely.
Reporting Relationships
Supervision Received: The Sustainability Coordinator reports to the Strategic Initiatives and Sustainability Director or designee of the City Manager.
Supervision Exercised: N/A
Essential Functions
Grant Research and Writing
- Identify, research, and evaluate grant opportunities from government, corporate, foundation, and private sources that align with the City's objectives.
- Write high-quality grant proposals, narratives, applications, and supporting documents in response to funding solicitations.
- Develop budgets and financial plans in collaboration with relevant departments to accompany grant proposals.
Grant Administration
- Monitor awarded grants to ensure compliance with all applicable regulations and deadlines.
- Serve as a liaison between the City and funding agencies, providing regular updates and addressing inquiries as needed.
- Collect, analyze, and report performance data to funding entities, ensuring transparency and accountability.
- Collaboration and Communication
- Work closely with city departments to identify funding needs and conceptualize grant-funded projects.
- Maintain effective relationships with stakeholders, elected officials, and other partners to secure letters of support and foster collaboration.
- Communicate effectively with community members and organizations to understand local priorities and ensure alignment with funding opportunities.
Recordkeeping and Reporting
- Develop and maintain a comprehensive database of grant opportunities, applications, and outcomes.
- Ensure proper documentation of grant applications, contracts, and financial reports for auditing purposes.
- Draft and implement grant policies and procedures in compliance with funding requirements.
Education and Experience
- Bachelor's degree in public or business administration, business, communication, urban studies, or a related field, and
- Two (2) years of professional experience in in grant writing, grant management, or a related field, or
- An equivalent combination of education and experience.

The Grant Coordinator must be able to:
- Exhibit knowledge of federal, state, and local funding regulations and reporting requirements.
- Seek grant opportunities that meet City goals.
- Implement City policies and procedures for contracts.
- Manage projects, including planning, scheduling, collecting data, monitoring, reporting, and problem solving, to meet requirements of each grant.
- Demonstrate strong organizational skills and meet deadlines effectively.
- Convey information clearly through both written and verbal communication.
- Establish and maintain effective working relationships with city stakeholders and project partners.
- Use Microsoft Office Suite and other grant management tools proficiently.
- Learn new technologies to support City initiatives.
Work Environment and Physical Demands
The employee typically works in an office environment and is protected from weather conditions but not necessarily occasional temperature changes. Under some circumstances the employees may work outdoors and may not be protected from weather conditions. Employees must adhere to safety precautions and may be required to use protective equipment. The employee is regularly required to sit and often uses repetitive hand motions. Employees must listen, hear, and talk often.
Selection Guidelines
A formal application and résumé is required. Finalists will interview with the appropriate hiring authority. Applicants must pass a pre-employment drug test and background check, and upon employment, must possess a valid Utah driver's license.
