We are currently seeking a Greeter/Patient Experience Coordinator to infuse new energy into our Front Desk team. Our Gateway Plaza location in Patchogue, NY is a welcoming and warm environment, intentionally designed to promote collaboration and foster creativity. The intention of this role is to develop our team members into a greater form of service within Babylon Dental Care.

    Training! We will train you to become a great Greeter/Patient Experience Coordinator and our (very unique) Global Training program allows you to see how/what all departments do to support you in your role. Many of our Greeters/Patient Experience Coordinators have moved into roles as Patient Coordinators, Insurance Coordinators and Administrators.

    We give plenty of support and we’re with you every step of the way! You start our BDC journey with a 15 day Global Training and your own Ambassador to walk you through it all. Our intention during the beginning days is to introduce you to BDC's entire service and give you customized and individualized, specific training needed to master your role as Greeter/Patient Experience Coordinator.

    We expect you to be personally responsible for being on-time and present for every shift you work, and always willing to go the extra mile for our patients!

    If you have dental experience, great! If not, any customer service or experience in the hospitality industry may be relatable to our practice needs and help you succeed in this role.

    Knowledge of Dentrix Ascend (or other dental software) would be helpful in setting you up for success, but not mandatory. Ability to be open to learn such software.

    Here’s an example of what a Patient Experience Coordinator might do in a day:

    Greet Patients warmly and professionally, using their names. Setting up the service for success and ease.

    Change patient status within our dental system to notify the team that their patient has arrived.

    Announce to the specific team on the radio that their patient is ready to be brought to the operatory for scheduled treatment.

    Before patient scheduled appointments, check to make sure all needed paperwork is completed and if not, follow up with patients.

    Scan any patient documents and move to patient file, if needed.

    Take picture of arriving patients and update ID's as needed in patient file.

    Comfortable with keeping up to date with email communications as the day goes on.

    Keep abreast of wait times and communicate accordingly with patients in reception. Our goal is to honor the patient's time while in service.

    Make sure reception area is neat and looking its best.

    Write and display patient "welcome" sign.

    Ensure that any new patient insurance information is shared for a benefits check.

    Prepare new patient welcome gift.

    Mentoring new team members when comfortable and can create value.

    Keep track of new patient numbers and referred by information on patient paperwork.

    Communicate any patient issues with the team to collaborate a resolution or enhanced service opportunity.

    Comfortable to ask a happy patient to share their feedback online in a review, or refer a friend to the Practice if they know anyone looking for a new dental home. Proudly sharing our service with others.

    Work collaboratively with the entire Practice to meet or exceed monthly goals so all can receive their check exercise bonus!

    Generate and review reports, when directed.

    Reach out to patients via dental software when they may be running late for their scheduled appointment time. Communicate to team patient's ETA.
