Summary
The Group Reservations Coordinator is responsible for entering, managing and monitoring contracted group reservations and room blocks, corporate account reservations, residence owner reservations, and residence rental unit availability within the property and group reservation systems.
The budgeted pay range for this position is $25.00 to $29.00 per hour, actual pay will be dependent on budget and experience.

Essential Job Functions
• Work in unison with Group Sales Managers, Sales Coordinators & Reservations team members
• Prepare, enter, and manage Space Available and Block Space group allocations in reservation systems to ensure contracted group booking details are in reservation systems
• Enter and manage rooming lists, including balancing blocks to ensure accurate room availability
• Participate in weekly yield meetings and Reservation team training and meetings
• Maintain space available groups list and ensure booking details are entered in reservation systems
• Attend weekly resume meetings and pre-conference meetings as needed
• Provide group departure pick-up reports and assist the Sales Manager and Accounting Manager with attrition reports, group commission reports and group billing details
• Closely monitor rental inventory availability following policies and procedures for taking reservations
• Email confirmations and information regarding reservations made, or information requested
• Monitor Group reservations in systems and maintain contact with group guests as required and release space if necessary
• Maximize occupancy by monitoring unit availability with run of house (ROH) placing new reservations adjacent to existing reservations when possible
• Manage Group Blocks to confirm the hotel is accurately holding rooms, maximizing availability to avoid overbooking
• Complete special projects assigned by your supervisor in a timely manner
• Endeavor at all times to present yourself professionally commensurate with the high quality of the product represented
• Must have a working knowledge of Aspen Hospitality hotels
• Work with Leisure Sales Manager to set up & maintain Corporate Account rates and details in reservation systems
• Enter and monitor corporate account reservations in the reservations system
• Enter all internal bookings in the reservations system
• Enter and manage Residential Owner calendars and Owner stays in reservation systems
• Serve as point of contact with 3rd party property managers and book rentals for residential units
Qualifications
• College degree is preferred
• Prior guest service experience is required
• Experience as a reservation’s agent and/or front desk agent is an advantage
• Experience in standard office procedures required.
• Knowledge of Sales Force/Delphi, HMS, and Microsoft Office applications is a plus
• Strong written and oral English communication required
• Ability to multi-task and prioritize schedule

Supervision Given and Received
Given: This position has no supervisory responsibilities.
Received: Works under the general supervision of the Director of Sales. Receives continuing or individual assignments according to supervisor’s directions and may perform routine tasks. Expectations of the quality, quantity, and deadlines are clearly set. Instructions, advice, and assistance is available as needed. Work is reviewed on demand or during scheduled check-ins.
Work Environment and Physical Demands
Ability to stand, type and sit at desk/computer for most of the work shift executing repetitive movements. No adverse or hazardous conditions. Not required, but preferred to be able to occasionally lift, push or pull 50 lbs. individually or with assistance.
