    The Growth Track Administrative Assistant is responsible for direct support to the Growth Track Pastor and the Growth Track ministry. This role’s administrative and event coordination tasks require a high level of professionalism, excellent work ethic, well-organized, detail-oriented, discreet, flexible, excel in communication while exhibiting warmth, friendliness, and enthusiasm. In addition to providing administrative support in all areas of the Growth Track Ministry, this person will support, coordinate, and execute events including Summit Life, Summit Groups, Water Baptisms, and other Growth Track ministry events. This person will serve as the first point of contact for Growth Track Leaders and Volunteers, First Time Guests, and New Believers. Responsibilities: • In a coordinated effort with Growth Track Pastor, make the contact by phone and/or email, place in designated workflow in database and complete workflow next steps for First Time Guests • New Believers, Summit Life, Water Baptism, “Get Connected” in a Summit Group or, Growth Track classes • Provide support for Volunteers in the Growth Track ministry • Utilize church database software to request space and services for meetings, events, volunteer assignments, groups and classes • Leader Support to Summit Groups and Growth Track Classes • Supports Summit Group Leader needs • Facilitate Leader/Volunteer Training for Growth Track Pastor • Maintain Groups and Calendars in the Planning Center • Acquire weekly attendance and report to the Growth Track Pastor • Purchase and dispense leader supplies • Prepare on-campus rooms for groups and classes • Secure the building on group nights as necessary • Assist with Summit Life Use and maintain time lined checklist that includes: • Schedule and request Summit Life Events • Secure volunteers • Supervise Volunteers and set up • Communicate with registrants • Meet with the Pastor to acquire updates for materials • Purchase all supplies and order printed materials • Maintain inventory of supplies and restock as necessary • Enter returned paperwork into Summit Life workflow • Track and follow up participant paperwork • Conduct follow-up calls for status updates • Update personal information in church database • Directs church water baptisms under the direction of the Growth Track Pastor • Provides support for Water Baptism Team • Ensure coordination with facilities for baptism including water level and temperature checks to ensure acceptable conditions • Organize and ensure the volunteer schedule rotation is published and positions covered • Track registered participants who have signed up to be water baptized • Acquire all baptism supplies. • Maintain a well-stocked inventory • Ensure used towels are collected and washed • Follow-up on those who were baptized • Help train and oversee volunteers, as applicable • Maintain needs of Group Zone as directed by Growth Track Pastor • Serve in Group Zone before and after one service each Sunday • Submits all purchase orders and purchasing for Growth Track ministry and monitor budget • Assists Growth Track Pastor where needed • Other duties as assigned Qualifications: • Must have a strong personal faith in Jesus Christ • 1-2 years of Administrative and/or Event Management experience preferred but not required • A High school diploma or GED • Knowledge of Microsoft Office (Word, Excel, PowerPoint) and Office 365 • Familiarity with Planning Center or other church database preferred by not required • Excellent organizational/time management skills to include significant attention to detail • High level of flexibility and always be ready to pivot • Able to respond to emergent or stressful situations in a calm and professional way • Will to ask for help and set agreed upon boundaries • Strong communicator (verbal and written) • Support and not fear change • Establish and maintain professional relationships with all ministries • Must be able to work on multiple tasks • Skilled time manager and the ability to prioritize • Self-starter and independent worker • Skilled at anticipating needs of the ministry Compensation: $16 - $17 hourly
