    Job Summary

    We are seeking a motivated and outgoing Office Manager to join our team. In this role, you will provide support to our field employees, ensuring they have all the information and resources they need to perform their best. You will also be the first point of contact for clients contacting us.

    Your responsibilities will include answering phone calls, scheduling appointments, and handling paperwork such as construction permits and warranty registrations for our customers. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor. We will provide you with the necessary training if you are not familiar with certain industry specific tasks.

    Responsibilities

    Answer incoming phone calls

    Schedule service appointments and maintain calendar

    Organize meetings

    Register customer equipment warranties

    Maintain an organized filing system

    File rebate applications

    File construction permits, mail payments & schedule final inspections

    Assist Service Department with billing clients as needed

    Qualifications

    High school diploma/GED required

    Previous experience as an Administrative Assistant or in a similar position to a service company (HVAC, Plumbing, Electrical, etc.)

    Familiarity with standard office equipment such as printers & scanners

    Good computer skills and basic knowledge of Microsoft Word, Outlook, and Excel

    Highly organized with excellent time management skills and the ability to prioritize projects

    Ability to communicate with team members who will usually be out in the field

    Ability to learn and use scheduling & billing software (CRM)
