    HR & Operations Generalist

    POP Therapies is seeking a highly organized and detail-oriented HR & Operations Generalist to join our multi-disciplinary therapy team. This role blends HR operations, scheduling, and operational support to ensure seamless experience for our staff and clients.

    As part of a company that provides ABA Therapy, Speech Therapy, and Physical Therapy, you will work directly with the CEO, COO, and CMO to support the hiring, compliance, scheduling, and operational needs of our clinical team.

    Key Responsibilities

    HR Administration & Onboarding – 30%

    Manage the full-cycle onboarding process for new hires, including offer letters, contracts, and new hire paperwork.

    Facilitate new hire orientation to introduce employees to company policies, culture, and expectations.

    Ensure timely collection and verification of new hire documentation, including I-9s, tax forms, and other required paperwork.

    Ensure all employee credentials, licenses (RBT, BCBA, SLP, PT, OT), and background checks are up to date.

    Maintain compliance with federal, state, and local labor laws and ensure HR policies align with healthcare industry standards.

    Track employee training, certifications, and policy acknowledgments.

    Scheduling & Clinical Operations Support – 20%

    Serve as the primary scheduler for clinical staff (BCBAs, RBTs, SLPs, PTs) to ensure efficient client appointments and staff utilization.

    Track therapy session authorizations and insurance approvals to ensure smooth client care.

    Work with the operations team to manage scheduling conflicts, cancellations, and staffing needs.

    Maintain up-to-date employee availability and client appointment coordination.

    Payroll & Benefits Administration – 15%

    Process payroll using ADP and/or QuickBooks, ensuring accuracy and timely submission.

    Verify employee benefits, PTO, and sick time balances before payroll processing.

    Ensure all staff have accurately rendered appointments before running payroll to prevent errors.

    Stay updated on state and federal labor laws related to payroll, including minimum wage updates and compliance changes.

    Assist employees with payroll-related inquiries, tax forms, and direct deposit setups.

    Compliance & Employee Relations – 20%

    Maintain employee records and compliance tracking in HR systems.

    Prepare HR reports related to turnover, staffing metrics, payroll accuracy, and compliance tracking.

    Respond to employee inquiries regarding HR policies, benefits, payroll, and scheduling.

    Conduct audits of employee records to ensure accuracy and compliance.

    Assist with policy updates related to payroll, time tracking, and labor law compliance.

    Reception & Administrative Support – 15%

    Answer incoming calls and provide friendly, professional support to families, staff, and clients.

    Support the operations team with data entry, reporting, and general operational tasks.

    Assist with HR-related events, employee engagement activities, and training sessions.

    Qualifications for HR & Scheduling Coordinator

    Bachelor's degree in Human Resources, Business Administration, Healthcare Administration, or related field (or equivalent work experience).

    2+ years of experience in an HR role, with responsibilities in onboarding, compliance, scheduling, and payroll preferred.

    Strong organizational skills with experience managing employee records, compliance tracking, and scheduling staff in a healthcare or ABA setting.

    Familiarity with employment laws, HIPAA compliance, and clinical credentialing/licensing (RBT, BCBA, SLP, PT, OT) is preferred.

    Experience with payroll processing in ADP and/or QuickBooks, ensuring accurate and timely payroll execution.

    Ability to verify employee benefits, PTO, and sick time balances before processing payroll.

    Ensure all staff have accurately rendered appointments before payroll submission to prevent discrepancies.

    Stay updated on federal and state labor laws related to payroll, including minimum wage changes and compliance requirements.

    Experience with HRIS systems, scheduling software, or EMR systems is a plus.

    Strong problem-solving, communication, and multitasking skills in a fast-paced healthcare environment.
