Highlands Ranch Animal Hospital is a Veterinary practice, located in beautiful Carmel Valley. We are searching for a qualified candidate to fill a part-time veterinary receptionist. This position requires an outgoing, enthusiastic, motivated, compassionate, and dependable person with a positive attitude and excellent customer service skills. We are a small animal exclusive practice that is growing fast. Come work in a healthy and happy work environment with room to grow, at every level. A minimum of 2 years of professional Veterinary experience required. If you possess these qualities and are looking for a long-term commitment, we look forward to meeting you. Our clinic hours are Monday – Friday 7:30 am to 6:00 pm. We are closed on the weekends and observed Holidays. Part time benefits after 3-month probation include: uniform costs, sick pay, discounted veterinarian services.
Job Duties
Be on time and ready to work at set time by management
Pronounce, understand and spell common veterinary terms
Greet clients in a friendly and professional manner.
Balances cash drawer in morning and end of day.
Computer skills which include excel, word, type 30 words per min, email and shows accuracy in
inputting details.
Answer client inquiries about basic animal care questions and routine procedures
Educate clients on OTC products, nutraceuticals, heartworm and parasite preventatives to promote
sales.
Checking in and checking out patients
Record and attach medical records entries accurately.
Ensures that records are up to date and accurate with patient and client information.
Prepare health certificates, immunization certificates.
Able to go over euthanasia services, collect euthanasia authorization, fill out proper identification
card, and sympathy card. Contacts owners when ashes are returned.
Handle client/patient transfers and obtain records from other hospitals.
Prepare client invoices for services performed.
Accurately handle payment transactions (online, cc, cash/check)
Maintains an effective appointment schedule, screening emergencies and prioritizing cases that
need to be seen.
Receives and relays telephone, fax and email messages accurately and promptly.
Answers telephones and handles calls quickly, efficiently and in a professional and friendly
manner using a multi line system.
Enter and update client and patient information into practice computer software, including taking
pictures of pets and attaching to chart.
Outline costs and fees while supporting hospital payment policies.
Able to turn future clients (phone shoppers) into clients through effective and pleasant
communication.
Handles client correspondence including procedure reminders, thank you cards, welcome cards,
sympathy arrangements and cards, and A/R statements.
Maintains a professional/welcoming appearance of the front office through cleaning and
organization.
Schedules and communicates with ultrasound appointments.
Cleans up patient excrements in the lobby and surrounding area.
Assist in keeping exam rooms clean and orderly in between appointments.
Calls surgery reminders with pre operative instruction for next day surgeries and print estimates.
Calls to remind new clients for next day appointments.
Calls clients who are 10 minutes late.
Maintains office equipment PC, telephones and fax machines.
Accurately maintain an alphabetical filing system.
Understands and carries out oral and written directions.
Performs other duties as assigned if asked by management.
Accurately performs end of day, end of month (printed), and end of year (printed).
Maintains positive, cooperative and respectful relationships with other employees.
