Job Summary
We are seeking an experienced Home Health Care Administrator/Receptionist to join our team! As our Administrator/Receptionist , you:
will be the first point of contact for our clients and visitors
You will be responsible for managing front desk operations, handling administrative tasks, and providing support to our team
Your role is crucial in ensuring that our office runs smoothly and that our clients and staff receive the support they need
Answer and direct phone calls, take messages, and handle inquiries efficiently
Schedule client appointments and coordinate staff assignments as needed
Manage and maintain client records, ensuring accuracy and confidentiality
Assist with billing, invoicing, and other financial tasks as required
Handle incoming and outgoing mail, packages, and deliveries
Order office supplies and ensure the office is well-stocked and organized
Assist with the preparation of reports, presentations, and other documents
Coordinate meetings, take minutes, and distribute them to relevant parties
Support the management team with various administrative tasks and special projects
Ensure compliance with office policies and procedures, including HIPAA regulations
Responsibilities
Create and implement both short and long-term goals for the company and the front desk staff
Handle scheduling and time off requests for staff working the front desk
Set a service standard and lead by example, providing exceptional customer service to all guests
Manage training of new and existing staff members to ensure everyone understands the expectations set forth for them
Work closely with the rest of the team to provide the highest level of customer service
Coordinate with staff and the community to create partnerships and host events
Qualifications
High school diploma or equivalent; additional education or certifications in office administration or healthcare is a plus.
Previous experience as a receptionist, administrative assistant, or in a similar role, preferably in a healthcare setting
Strong organizational skills with attention to detail and the ability to multitask
Excellent communication and interpersonal skills, with a customer service-oriented mindset
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with electronic health records (EHR) systems
Ability to handle sensitive information with confidentiality and professionalism
Positive attitude, strong work ethic, and ability to work well both independently and as part of a team
Knowledge of home health care industry practices and terminology (preferred but not required).
