Performs duties normally associated with supervisory position, such as hiring, training, evaluating, and disciplinary counseling of all on-site employees.
Responsibilities included but not limited to:
Overseeing compliance with the state and completing licensure fees and reports in a timely manner Overseeing compliance with MCO’s and meeting with auditor, reporting all administrative reports in a timely manner Prepare for interviews for placement, communicate with social workers, ISP Coordinator, family members; case managers, healthcare team etc. and follow through with placement until completed.
Communicate with HR team and approve family model providers
Be open and committed to respond to emergencies and provide a backup when not available.
Tracking all expenses by house managers monthly and maintains compliance according to policy and procedure
Collect all rents and maintain collection records
Submit invoices for billing by maintain an accurate account for who is in the home.
Respond to all emails
Use a time block system to report to administrator activities of the week
Conducts management staff meetings on regular basis.
Attends management meetings when scheduled.
Ensures staff is implementing resident retention and renewal programs.
Provides additional training as necessary.
Maintains open and clear communication with the community staff.
Develops an integral team that effectively sells the quality and professionalism of the Company.
Represents the company in a professional manner at all times.
Approves payment of all invoices on a timely basis.
Monitors maintenance activities to ensure resident requests and preventive maintenance programs are being performed according to company standards.
Ensures completion of various daily, weekly and monthly reports in a timely and accurate manner.
Reviews reports and makes operating recommendations.
Reviews payroll and payroll-related forms; discusses exceptions and unusual circumstances with Managers and approves/disapproves as appropriate.
Assists on-site employees as needed.
Supports overall marketing efforts and offers input and suggestions.
Resolves disputes regarding rejection or approval of a resident application in process.
Understands and complies with state landlord-tenant law and Fair Housing laws and standards.
Monitors and ensures collection of all rent and other property income.
Prepares and follows guidelines of community operating budget, and makes recommendations to maximize income and minimize expenses.
Offers recommendations for community capital improvements or repairs, the development of job specifications, bid acquisitions, contract developments and negotiations, etc.
Reviews all renewals and prepares budget increase recommendations to Regional Manager according to operating budget and market conditions.
Integrates and analyzes the operations of various departments to achieve budgeted goals and owner objectives.
Ensures accurate and timely payment of all property expenses and informs owner of any potential expense/income variances in advance.
Oversees use of proper supervision methods by department supervisors and that personnel issues are carried out in accordance with established Company policies and procedures.
Solicits and reacts accordingly to positive and negative resident feedback.
Provides training and serves as a mentor to subordinate Managers.
Works with House Manager in making recommendations and overseeing the editing company policy and procedures.
Attends and participates in training seminars as requested.
Ensures all on-site staff has enrolled in and completed necessary courses.
Performs other related duties as assigned or requested.
