Anthos|Home is a groundbreaking startup dedicated to housing vulnerable New Yorkers. We're seeking a passionate and experienced Human Resources (HR) + Administrative Associate to join our team and make a significant impact on the lives of those in need of stable housing.
The Role:
The HR + Administrative Associate will report to the Human Resources Generalist and will be responsible for managing day-to-day administrative operations while also assisting in key HR functions. This dual role requires excellent organizational and communication skills, the ability to juggle multiple priorities, and a deep understanding of office and HR processes.
Key Responsibilities:
****HR Support:
- Assist in the hiring process, including conducting reference checks, coordinating pre-screen interviews, and scheduling interviews.
- Maintain applicant tracking systems and ensure timely communication with candidates.
- Assist with onboarding by preparing workstations, coordinating office supplies and equipment, and providing a complete office orientation for new hires.
- Support in managing employee files, ensuring confidentiality and accuracy of HR records.
- Other HR duties as assigned by supervisor
Administrative and Office Support:
- Manage key office email accounts, ensuring timely responses and appropriate follow-up with staff or external contacts.
- Forward or respond to emails from staff, vendors, or external contacts, ensuring relevant teams or individuals receive necessary information.
- Maintain cleanliness and organization in shared office spaces, including kitchen and meeting areas.
- Manage the main office phone line and greet visitors in a professional manner.
- Organize and coordinate logistics for office meetings, events, and training sessions, including catering, room setup, and technology needs.
- Manage conference room scheduling and ensure meeting spaces are prepared with the necessary equipment and materials.
- Maintain office security by managing visitor lists and building access through the building's visitor portal.
- Coordinate the purchase of office supplies to ensure the office is well stocked and organized.
- Create PowerPoint presentations and other materials to support HR and administrative functions.
Qualifications:
- Proven experience in an administrative or office support role with exposure to HR functions.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Additional Requirements
- Ability to work independently and take initiative.
- Experience with event coordination and facility management is preferred.
- Discretion and ability to handle confidential information.
Compensation and Benefits:
- Competitive starting salary: $30,000-35,000/year, 20-25 hours per week (with potential to move to full-time depending on need)
- 3 days in office per week (M, W, Th)
