    POSITION OVERVIEW

    The Human Resources Coordinator provides administrative support to employees and assists the HR Managers with recruitment, onboarding, and payroll processing. Overall, this position completes clerical duties for the Human Resources department with the focus of being compliant in all aspects. The HR Coordinator serves as the first point of contact for employee inquiries and escalates complex matters to HR Management as needed.

    ESSENTIAL FUNCTIONS, DUTIES, RESPONSIBILITIES (but not limited to)

    • Monitor and support the hiring and recruitment processes for compliance with all local, state, and federal laws and company policies and standards.
    • Assist with job postings, interview scheduling, and preparation for onsite visits and agendas.
    • Assist managers/supervisors with hiring processes to help streamline and move candidates through hiring process efficiently and timely as well as addressing any issues.
    • Help facilitate applicant flow in a timely manner from application to offer letter acceptance, background screenings, and electronic onboarding prior to start date.
    • Coordinate with managers on technology needs of new hire and reminders sent out for hiring manager on office preparation or uniform ordering.
    • Create and maintain new hire and personnel files and enter them into Human Resources Information Systems.
    • Assist with orientation of new employees specifically to HRIS system once hired in the system along with time clock registration.
    • Ensure accurate maintenance of all employee records and files (e.g., interview documents, I-9's). Support processing and maintenance of payroll records in accordance with policies and procedures, as necessary.
    • New hire checklists sent to hiring manager for completion.
    • Assist employees with internal and external transfer requests and procedures.
    • Conduct reference checks, motor vehicle checks, and employment verifications or unemployment claims.
    • Ensure weekly, bi-weekly and monthly reporting is completed for specific HR data.
    • Assists with housing and transportation duties for associates, including H2Bs, J1 students and interns.
    • Assists with housing arrangements for new hires (specific managerial roles) that may have temporary housing offered during relocation period.
    • Answer phone calls, respond to emails, and handle clerical HR support as necessary.
    • Serve as Human Resources subject matter expert and participate in team projects.
    • Train new hires on Human Resources processes, programs, and general HR policies.
    • Performs other duties as assigned.

    POSITION REQUIREMENTS

    Education: Bachelor’s degree in human resources or related field, or equivalent work experience required.

    Experience: At least 2 years of Human Resources experience highly preferred.

    Required: Must have a valid driver’s license, motor vehicle background check will be completed.

    QUALIFICATIONS, SKILLS, & ABILITIES

    • Fluent in English language; bilingual is a plus.
    • Exceptional verbal and written communication skills.
    • Decision-making skills are critical in this role.
    • Detail orientated when ensuring the workplace is compliant with labor standards and when maintaining records regarding employee grievances, performing background screenings, and assisting with reviewing candidate qualifications.
    • Proactive and independent with the ability to take initiative.
    • Must routinely meet deadlines.
    • Must be able to multi task.
    • Must be effective in handling problems in the workplace, including anticipating, preventing, identifying, and solving problems as necessary.
    • Excellent time management skills with a proven ability to meet deadlines.
    • Familiarity with laws, regulations, and best practices applicable to hiring and recruitment.
    • Proficient with or the ability to quickly learn applicant-tracking software, database management, internet search methods, background screenings and/or other recruitment systems.
    • Proficient with Microsoft Office Suite or related software.
    • Proficient with working with scheduling tools; creating appointments, events, organizing meetings and interviews, etc.

    WORKING CONDITIONS – PHYSICAL/MENTAL REQUIREMENTS

    • Must be able to work in a fast paced, deadline driven environment.
    • Mobility to work in an office setting, use standard office equipment.
    • Stamina to sit for extended periods of time.
    • Strength to lift and carry up to 20 pounds.
    • Vision to read printed materials and computer screens with dexterity to utilize computer equipment.
    • Hearing and clear speech to communicate in person or over the telephone.
    • Must be able work in different types of weather sometimes extreme, including high temperatures and humidity.
    • Flexible schedule: days and times may vary based on need, this is not a remote position.
