Responsibilities: • Onboarding : Coordinate and facilitate the onboarding process for new hires, including preparing paperwork, conducting orientations, and ensuring a seamless integration into the firm. • Off-boarding : Manage the off-boarding process, including conducting exit interviews, processing final paperwork, and ensuring compliance with firm policies and legal requirements. • PTO Management : Review, approve, and track paid time off (PTO) requests, maintaining accurate records and ensuring alignment with firm policies. • Event Coordination : Organize and manage internal firm-sponsored events (e.g., team-building activities, holiday celebrations, and professional development workshops) to promote engagement and morale. • Employee Review Tracking : Assist in scheduling and tracking performance reviews, ensuring timely completion and maintaining confidential records. • Personnel Issues & Complaints: Serve as a first point of contact for employee concerns, handling personnel issues with empathy and professionalism, and escalating complex matters to the Operations Director as needed. • Leadership Development : Assist in the coordination and facilitation of leadership development programs for employees at all levels. Support the implementation of mentoring initiatives to foster leadership growth within the firm. • Interdepartmental Training : Coordinate training sessions that promote knowledge sharing and collaboration between different departments. Support the organization of team-building exercises, training, and workshops to strengthen team and departmental relationships and performance. • HR Escalation : Identify and escalate significant HR issues (e.g., compliance, legal risks, or conflicts) to the Operations Director or external HR advisors when appropriate. • Company Culture : Actively contribute to fostering a positive and collaborative workplace culture through initiatives, communication, and employee engagement efforts. • Meal Coordination : Order and arrange meals for firm meetings, depositions, or working lunches, ensuring dietary preferences and budgets are met. • Recruitment Support : Assist in drafting and posting job descriptions, coordinating interviews, and communicating with candidates during the hiring process. • Record Keeping : Maintain accurate and up-to-date employee files, ensuring compliance with federal, state, and firm-specific regulations. This includes managing records for long-term and short-term disability, processing employee changes such as new additions, removals, and salary increases, and ensuring all documentation is current and precise. • Benefits Management : Handle the firm’s health, dental, and vision benefits programs. Oversee employee enrollments, changes (e.g., adding or removing dependents, updating coverage levels), and terminations, ensuring timely processing and maintaining accurate records. Coordinate with insurance providers to resolve issues and ensure employees receive uninterrupted coverage. • 401(k) Administration : Manage all aspects of the firm’s 401(k) plan, including processing employee contributions, handling new enrollments, changes (e.g., contribution rate adjustments), and terminations, and ensuring compliance with IRS and Department of Labor regulations. Liaise with the plan administrator to address employee inquiries and maintain up-to-date records. • New Hire Reporting : Keep up-to-date records with the Colorado new hire reporting system (newhire.state.co.us) by accurately recording and submitting new hire information within the required timeframe, ensuring compliance with state regulations. • Policy Communication : Support the dissemination of HR policies, updates, and announcements to staff in a clear and timely manner. • Ad Hoc Projects : Provide administrative support for special HR initiatives, such as benefits enrollment, training programs, and networking with other professionals in the Southern Colorado region. Qualifications: • Education: Bachelor or Associate degree in Human Resources, Business Administration, or a related field preferred (or equivalent experience). • Experience : 1-3 years of experience in an HR or administrative role; experience in a law firm or professional services environment is a plus but not required. • Experience with benefits administration: Including health, dental, vision, and retirement plans, is highly desirable. • Familiarity with state reporting systems, such as newhire.state.co.us, is a plus.
