    CUSTOMIZED PROGRAM COORDINATOR

    STATUS: Full-time, exempt

    SCHEDULE: M-F, 8.30a.m. - 4.30p.m, including working beyond core office hours as required by the needs of the position and department

    REPORTS TO: Associate Director, Customized & Faculty-led Programs

    DIRECT REPORTS: None

    START DATE: ASAP

    LOCATION: Chicago, IL

    SUMMARY OF POSITION:

    ln conjunction with the Customized & Faculty-Led Programs team and IES Abroad Center staff, the Customized Program Coordinator position collaborates, coordinates and communicates with various stakeholders on vital program administration including, but not limited to: student communication, pre-departure maintenance, and post-program administration. This position is eligible for incentive pay.

    JOB RESPONSIBILITIES:

    • Communicate and collaborate with the Associate Director, Customized Program Managers-(CPMs), other Customized Program Coordinators (CPCs), Centers, and other IES departments, to coordinate programs in a variety of stages.
    • Manage multiple projects in a fast-paced environment.
    • Develop process expertise and general Center knowledge to communicate effectively with program stakeholders.
    • Provide friendly, accurate, and prompt pre-departure support and information to IES Abroad students, parents, and institutional staff through written and verbal (telephone) communications.
    • Upload student rosters and process student registration.
    • Track and process pre-departure tasks and update program-related details via new CRM software.
    • Communicate with CPMs/CPCs to ensure student-registration and forms deadlines are met for each program.
    • Customize and edit program/destination-specific pre-departure guides.
    • Other duties/projects as assigned and/or required.

    EXPERIENCE & QUALIFICATIONS/SKILLS:

    • 2+ years' experience in an administrative role.
    • Demonstrated ability to form and maintain positive relationships with internal colleagues and external clients.
    • Ability to be flexible and adaptable in a changing environment.
    • Strong team player, yet able to work independently.
    • Excellent attention to detail and data entry skills, with the capacity to maintain accurate records.
    • Strong project management skills, including accountability, critical thinking, and problem-solving skills.
    • Empathetic communicator with exceptional customer service skills.
    • Strong computer skills, including but not limited to Microsoft Office Suite, Adobe Reader, Drupal, and CRM software.

    EDUCATION:

    Bachelor's degree preferred or equivalent work experience.
