What will you provide?
We are seeking a detail-oriented and highly organized Physical IT Asset Coordinator to join our IT team. The successful candidate will be responsible for managing the physical lifecycle of IT assets, ensuring accurate tracking, maintaining inventory integrity, and coordinating the setup, delivery and return of hardware assets across the organization. This role requires a combination of technical knowledge, logistics coordination, and a strong focus on process improvement.

- Maintains comprehensive documentation of system configurations, procedures, and policies.
- Work closely with IT teams to ensure the timely and accurate provisioning of hardware for new employees, project teams, or departments.
- Communicate effectively with non-technical staff and management to explain complex technical issues.
- Maintain an accurate inventory of all physical IT assets, including laptops, desktops, servers, networking equipment, peripherals, and other hardware.
- Oversee the receipt, labeling, and storage of incoming IT assets, ensuring they are correctly cataloged in asset management systems.
- Perform regular inventory audits to ensure accuracy, track asset movement, and resolve discrepancies.
- Coordinate the deployment of IT assets to users, ensuring proper tracking, and documentation.
- Handle asset disposal, recycling, and decommissioning processes in compliance with company policies and environmental regulations.
- Track assets from acquisition through to decommissioning, ensuring all stages of the asset lifecycle are properly documented.
- Ensure asset tracking systems are updated to reflect any changes in asset status, location, or condition.
- Manage the logistics of asset transfers, including the shipping, receiving, and tracking of hardware between locations, departments, and external vendors.
- Ensure safe, secure storage of physical assets and oversee warehouse space and materials handling.
- Create and maintain standard operating procedures (SOPs) for the asset tracking and management process.
- Identify opportunities to improve IT asset management processes, enhance efficiency, and minimize waste or loss of assets.
- Ensure compliance with organizational and regulatory standards related to asset management, including data security and privacy regulations.
- Contribute to the development and enforcement of IT asset policies and procedures.
- Prep and deploy IT equipment for new hires and break-fix.
- MACD tasks for user and computer provisioning in Azure/Entra according to defined Aspirion processes.
- This position will require physical activity, including standing, walking, lifting, and moving IT equipment.
- In-depth understanding of best practices in core IT competencies.
- Strong attention to detail with ability to organize and manage multiple priorities and projects, work to tight timeframes and achieve exceptional outcomes
- Ability to multi-task in a fast-paced evolving work environment with fluctuating priorities and deadlines
- Proven ability to use a consultative approach and persuasive communication with stakeholders.
- Ability to work in and manage ambiguity, including dealing effectively with issues that do not always have a process, system, or solution in place
- Highly developed oral and written interpersonal, communication, negotiation and conflict management skills and the ability to work effectively with other people

- Strong analytical and problem-solving skills and a proactive approach to resolving asset-related challenges.
- Knowledge of hardware configuration, tagging, and tracking systems.
- Ability to troubleshoot basic IT hardware issues and liaise with the technical support team as needed.
- Experience with IT lifecycle management and familiarity with industry best practices (ITIL)
- Understanding data security and compliance standards related to IT asset handling.
Qualifications
- Minimal 2 years proven experience in IT asset management, physical inventory control, or logistics is required.
- Minimal 2 years basic desktop imaging/setup experience is required.
- Experience with Windows 10, 11 required.
- Experience with IT asset management tools is strongly preferred.
- Experience with Microsoft Intune/Autopilot, Entra preferred.
- Linux and Mac experience preferred.
- Experience with PowerShell preferred.
- Professional certifications such as CompTIA A+ preferred.
- ITIL v4 or equivalent required. Candidate can take up to six months after employment to obtain certification.
- Ability to lift 50 pounds.
