  • Responsibilities

    The IT Asset Coordinator is a senior level EUC position responsible for general EUC administrative duties, as well as the investigation of vendor sources for technical services & equipment, procurement, negotiations, entering requisitions and purchase orders, placing orders with vendors, receiving goods and services, matching purchasing orders to invoices, tracking actual costs to budget, tracking technology inventory & assets (including hardware, software, services), tracking contracts and maintaining supporting files, writing and maintaining documentation, answering technical system questions, and providing backup support to help desk and technical ITS staff and management team.

    This role will include managing, controlling, and protecting the organization's IT assets (i.e., hardware) throughout their life cycle, from acquisition through final disposition. In addition, this position will include designing, developing, and implementation of the organization's asset management strategy.

    Required Qualifications and skills:

    • Understand business goals and objectives and meet or exceed assigned G&O
    • Work with IT Management & EUC Staff to understand requirements as it relates to procurement of hardware, software and services; work with the Finance & Accounting team on generally accepted accounting practices (GAP) as it relates to procurement, purchasing, tracking, inventory and vendor payments controls
    • Research vendor sourcing alternatives and make recommendation; assist in negotiations
    • Process requisitions, purchase orders, receiving documents, invoices, and scan images
    • Place orders with vendors and track open and closed orders
    • Escalate issues as they arise to keep EUC Management informed as it relates to procurement
    • Maintain documentation, technical vendor contracts, and policies/procedures, and instructions, as it relates to ITS (both in paper and scanned form) maintain a library of documents and content index for easy cross referencing
    • Manage inventory tracking with company asset management software
    • Optimize usage and cost of IT hardware deployments.
    • Proving equipment to end-users and reclaiming equipment from employees on termination.
    • Processing of assets as they are received, transferred and disposed.
    • Manage acquisition, deployment, utilization, tracking, security, and final disposition of IT assets.
    • Document processes using tools such as Visio, MS Word, and Power Point
    • Provide reporting on inventory tracking
    • Conform in all respects applicable federal, state and local laws, regulations, ordinances and other orders and to all company policies, procedures and directives from management, supervisors, and senior technical staff.
    • Must have experience with asset management and procurement
    • Must have demonstrated examples of strong skills to track actual cost against budget, and general accounting
    • Strong written and verbal communication skills
    • 1 - 3 years' experience with central administration, lists, content types, workflows, and organization
    • 1 - 5 years' experience with Microsoft Office Suite
    • 1 -5 years advanced, expert experience with Microsoft Office Excel Spreadsheet; must be able to create pivot tables, macros, and other advanced excel functions
    • 2-year associates degree or equivalent work experience in business, accounting, or Computer Science/Information Systems
    • Technical Certifications are a plus
    • Perform other duties and responsibilities as required or requested by management

    Career Track:

    Next Level for a Technical Coordinator might be a position in the IT Help Desk, Data Integrity, or Systems Administration; all upward positions would require a candidate meet the stated job requirements and experience level.
