Professional Services Coordinator
Position Summary: The Professional Services Coordinator at BIOS Technologies is essential to delivering high-quality IT project support and exceptional onboarding for new clients. This role is integral to BIOS Technologies’ mission of "bringing high value to clients through innovative technology solutions with consistent execution." The Professional Services Coordinator ensures seamless project execution by facilitating communication across teams, coordinating resources, and supporting project management activities from start to finish.
Essential Functions & Responsibilities:
- Project Coordination: Provide daily support and coordination for BIOS Technologies’ Professional Services division, ensuring projects meet or exceed all objectives, metrics, and company core values.
- Cross-Team Collaboration: Work closely with the Team Lead, Professional Services team members, and other departments to complete projects on time, within scope, and on budget.
- Liaison Role: Serve as the central point of contact among project resources, technical teams, and clients to ensure smooth collaboration and effective communication.
- Resource Management: Maintain up-to-date project resource calendars and coordinate with the Team Lead and vCIOs on resource allocation, capacity analysis, and scheduling.
- Tool and Information Accessibility: Ensure team members have the necessary tools, information, and resources to fulfill their roles.
- Client Interaction and Quoting: Work with the vCIO to provide quotes to clients, follow up on approvals, and facilitate smooth transitions from quote approval to project delivery.
- Vendor and Software Coordination: Oversee quoting software and liaise with vendor support, manage hardware and software purchases, and organize fulfillment for client projects.
- Documentation and Reporting: Maintain accurate project documentation and assist with internal and external reports, tracking project progress, and updating stakeholders.
- Quality Assurance: Support quality control processes by adhering to BIOS Technologies’ standards, participating in reviews, and suggesting improvements.
- Risk Management: Assist in identifying potential risks, escalating issues, and implementing risk mitigation strategies as needed.
- Team Participation: Actively engage in team meetings, company initiatives, and maintain flexibility to support other departments as needed.

Placement Criteria:
- Education & Experience: Associate’s or Bachelor’s degree in a related discipline and 5-10 years of relevant technical support or project coordination experience, or an equivalent combination of education and experience. Relevant certifications preferred but not required.
- Technical Knowledge: Proficiency in IT support concepts, especially within Windows environments, with the ability to quickly adapt to evolving technologies and threats.
- Organizational Skills: Exceptional ability to prioritize tasks, manage competing priorities, and work effectively under deadlines.
- Communication Skills: Strong written and verbal communication skills, with a commitment to providing outstanding service both internally and externally.
- Project Management: Familiarity with project management principles and methodologies.

Physical Demands: This position requires regular sitting, speaking, hearing, and use of hands. Occasional standing, walking, lifting (up to 50 lbs), and traveling may also be required. Flexibility for after-hours and weekend support is expected.
