The PATIENT CONCIERGE is a full-time position (Monday through Friday, 9am - 5pm) responsible for assisting in day-to-day, forward-facing interactions with a wide range of new and existing patients. In addition to responsibilities associated with a traditional receptionist role – including scheduling, rescheduling, and confirming patient appointments – the PATIENT CONCIERGE will also manage a generated pool of warm leads that inquire about treatment. To qualify for consideration, candidates will have a proven track record in forward-facing roles in a fast-paced environment. Candidates must possess:

KEY RESPONSIBILITIES • Appointing patients according to daily/weekly priorities and proactively modifying the schedule to optimize the practice efficiency and productivity • Collaborating with the treatment coordinator and clinical team to ensure patients are prepared for their appointments. Examples may include communicating upcoming payments, confirming all paperwork is complete prior to appointments, and confirming pharmacies as needed • Communicating with referring practices to ensure referral suitability, outcome alignment, and to create value for referring patients • Anticipating any individual patient needs or issues that may occur, including taking the initiative to problem solve and communicate as needed with the team • Contacting a continuous flow of Warm Leads from patients who inquire about our services in a timely manner • Provide value and educate potential patients regarding their dental treatment decision making process • Manage a follow up process by reaching out to potential patients who have already expressed an interest and to help educate them on the process, identify where they are in their decision-making process, and/or follow up on patients who may have delayed treatment • Maintain professionalism and poise constantly, even when working under pressure • Maintain professional and technical knowledge of the industry by attending necessary education workshops, reviewing professional publications, and other self-identified and relevant professional development opportunities • Support day-to-day office functions including laundry, care calls, scheduling office maintenance • Maintaining a positive outlook!
QUALIFICATIONS • Must have excellent communication and interpersonal skills • Must be able to immediately build rapport, assess patients’ needs, and create a sense of urgency to drive action • Must be able to effectively and autonomously manage one’s time with the ability to prioritize and shift focus. • Must have the ability and enthusiasm necessary to influence people • Must be a self-starter, accountable, and highly motivated to hit and exceed targets identified through provided Key Performance Indicators • Must be a digital native comfortable using a cloud-based tracking system and a variety of other practice management software
