Job Description
Industria Business Lawyers LLP. is a new tech-forward virtual law firm that is currently expanding into new markets. This entry role would be facilitating aid to the founding attorney during the administration of that expansion while gaining exposure to different roles within the company for advancement into a leadership role.
The founding attorney is looking for an assistant who is scrappy, a master multitasker with excellent (bilingual) communication skills, detail-oriented and organized, and has an upbeat attitude. Candidates should be able to assist the founding attorney in his professional tasks, delegate as necessary, ensure that they get completed, and be able to self-manage in an informal "startup" work environment. The role is part-time (10-15 hours per week) both in-person (Downtown) and virtual, with a flexible schedule.
Must be competent with computers, have a laptop (MacBook preferred) for working on the go, and excel at both verbal and written communication. This role is ideal for students and gives excellent exposure to the start-up, legal tech, entertainment, and finance sectors. They should always be prepared, eager to learn, and willing to meet each challenge directly.
Responsibilities and Tasks:
Problem-Solving:
Independently identify and resolve issues, showcasing problem-solving skills.
Conduct research projects on various topics as assigned, providing valuable insights to support decision-making.
Scheduling:
Completes a broad variety of administrative tasks for the executive including: managing an extremely active calendar of appointments; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
Schedule personal, medical, business, and other appointments
Plans, coordinates, and ensures the executive's schedule is followed and respected. Provides "gatekeeper" and "gateway" roles, creating win-win situations for direct access to the executive time and office.
Works closely and effectively with the executive to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense of the issues taking place in the environment and keeping the executive updated.
Personal Tasks:
Initiate outgoing customer service calls and emails to address personal needs and resolve inquiries.
Handle personal and professional errands: Drop/pick up items, purchases, holiday gifting, and procuring household & office supplies as needed; ensuring preferences are maintained.
Prioritizes conflicting needs; handles matters expeditiously, and proactively, and follows through on projects to successful completion, often with deadline pressures.
Ordering meals and office supplies as needed.
Ensures payment of expenses, bills, and invoices
Allocate and pay executive expenses, personal and corporate along with Accounting.
Coordinate vacations, handling reservations and bookings.
Additional duties as required.
Qualifications
High school diploma or equivalent
Proficient in Microsoft Office suite. Google Workspace is a plus.
2 years of experience supporting administrative functions at an executive level
Experience in customer service/retail is a plus
Experience in managing multiple priorities, administrative coordination, and logistics.
Well-organized, detail-oriented, ability to multi-task with great follow-up skills.
Strong written and verbal communication skills.
Preferred bilingual English/Spanish
