    Job Summary

    Under the direct supervision of the Infusion Center Manager, the Intake Coordinator is responsible for overseeing the intake process for patients requiring infusion therapy. This includes verifying insurance benefits, scheduling appointments, collecting necessary medical documentation, and collaborating with various teams (e.g., healthcare providers; case managers; authorizations; finance) to ensure a seamless and efficient patient admission process.

    Department: Infusion Shift: M - F; 8:30 - 5:00 Location: On-site

    Essential Job Duties

    Patient Intake: Receive patient referrals and inquiries regarding infusion therapy; Retrieve patient information (i.e., insurance information; H&P; labs; reason for infusion; medication order) from referring provider’s office; Ensure authorization has been obtained for patients; Conduct initial patient screening with the provider’s input to assess eligibility and treatment needs; Verify insurance benefits and collaborate with the prior authorization team for treatment plans.

    Scheduling and Coordination: Schedule infusion appointments based on patient availability and treatment requirements; Communicate with referring providers and other members of the interdisciplinary team to coordinate patient care; Serve as the bridge to all the CIBD departments handling patient infusion care, coordinating the intake process.

    Administrative Tasks: Maintain accurate patient records and data in the electronic health record system; Monitor and update patient demographics and insurance information; Generate reports on admissions volume and key metrics; Follow up with patients regarding appointment confirmations and reminders; Keep detailed info about authorizations (i.e., number authorized; expiration date; number of visits completed); Track patient visits by keeping a record of patient’s appointments and tally them with the number of authorizations allowed by insurances.

    Regulatory Responsibilities: Protect patient confidentiality per HIPAA rules as well as CIBD’s policy and procedures; Participate in professional development activities and maintain professional affiliations while attending appropriate training, seminars, workshops, and conferences as required.

    Required Education/Experience/Skills:

    High School Diploma or GED

    2 years of prior experience in a healthcare setting

    Strong understanding of medical terminology, electronic medical records (EMR) systems, medical billing codes, and insurance regulations

    Capable of managing high volume of phone calls, patient interactions, and staff communications with professionalism and efficiency

    Adept at handling diverse patient situations, with the ability to adjust communication style to effectively address varying needs

    Fluent English (speak/write/read) with excellent active listening skills

    Preferred Education/Experience/Skills:

    Graduate from an accredited Medical Assistant program

    Certified Medical Assistant (CMA) certification from the American Association of Medical Assistants (AAMA) or another certifying agency

    Associate's degree in healthcare administration or related field.

    Experience working at an infusion center or outpatient clinic

    Fluent in Spanish (speak/write/read)

    Licensure/Certification/Registration:

    Basic Life Support (may obtain within 3 months of hire)

    HIPAA training

    Compensation offered will be determined by factors such as location, level, job-related knowledge, skills, and experience.

    About the Organization The Center for Comprehensive Care & Diagnosis of Inherited Blood Disorders (CIBD), a 501(c)3 non-profit organization, is committed to providing comprehensive care for patients and their families with rare, chronic inherited blood disorders. CIBD is a part of a nationwide network of over 140 Hemophilia Treatment Centers that use multidisciplinary teams of blood disorder specialists to provide expert comprehensive diagnosis, medical care, outreach, education, outcomes monitoring, surveillance, and prevention services to people with hemophilia, Sickle-Cell Anemia, Thalassemia, Von Willebrand Disease, and other related hematology conditions. CIBD is the regional grantee for the Western States Region/Region IX providing regional leadership, fiscal and administrative oversight, grants management, capacity building, clinical education, technical assistance, evaluation, and outreach to public and private health agencies at the local, state, and federal levels.
