    Insero Talent Solutions has partnered with a privately held and rapidly growing construction company in Rochester, NY to recruit an Accounting Assistant.

    Position Summary:

    The Accounting Assistant reports directly to the Controller supporting the finance and estimating team with administrative and accounting responsibilities, including A/P, maintaining calendars, requesting W9’s from vendors, invoicing, managing files and documents and additional duties included.

    Responsibilities:

    • Maintaining accounting calendar
    • Requesting vendors W9’s prior to invoice payments and checking appropriate box if vendor is to receive 1099.
    • Ensuring markups to vendors prior to paying.
    • Entering invoices into the system.
    • Monitoring open purchase orders in system.
    • Send tax exempt certificates at time of purchase.
    • Close out any existing purchase orders that will not be fulfilled and verify with vendors prior.
    • Answering office phones as needed.
    • Daily sorting and distribution of incoming and outgoing mail.
    • Daily input of new projects into company Bid Tracker.
    • Publishing all Bid Tracker reports in a timely manner for weekly meetings.
    • Managing data for bond requests.
    • Organizing and downloading all bid documents.
    • Frequently monitoring open bids for any updates needed prior to submittal deadline.
    • Managing Construct Connect Website and company platform managing new bids, projects, documents, etc. Tasks include adding new projects, managing documents, sending big requests reminders.
    • Updating estimating backlog document regularly in Excel.
    • Assisting both accounting and estimating division with additional tasks as needed.

    Requirements:

    • HS Diploma; Associates degree or higher preferred with a minimum of 2-4 years of experience.
    • Efficiency and ability to produce significant output with minimal wasted effort and time.
    • Organization and planning: plan, organize, and schedules in an efficient and productive manner.
    • Proactive Aggressiveness: moves quickly and takes a forceful stand. Takes initiatives to discover new methods of being productive.
