Job Summary:
The Inside Support Specialist is essential in maximizing Outside Sales Representatives' productivity and minimizing engineering time by creating combined submittals, supporting the order and invoicing processes, and assisting with job close-outs. This role collaborates with Outside Sales Reps throughout the sales cycle to ensure seamless management of orders and project invoicing. Additionally, the Specialist may enter bids and conduct take-offs as workload permits.
Key Responsibilities:
Order and Submittal Management: Create and manage combined submittals, initiate orders for engineering, and coordinate with Outside Sales Reps on engineering jobs, RFIs, and revisions.
Invoicing and Allocation: Process and enter daily customer invoices, working closely with Reps on allocations as needed.
Engineering and Rep Support: Respond to Engineering inquiries about submitted orders, liaising with Reps to resolve outstanding questions.
Document Management: Prepare coversheets for returned submittals, organize documents in job folders, and forward completed submittals to Reps for customer delivery.
Job Close-Out: Review stale jobs monthly and close out completed jobs in Method.
Qualifications:
College Degree preferred.
Experience in sales support preferred.
Proficiency in MS Office, Bluebeam, Google Suite, SharePoint, and Teams.
Familiarity with reading blueprints and understanding MEP systems and equipment is advantageous.
Strong analytical and problem-solving skills.
Excellent attention to detail and organizational abilities.
Effective communication skills, both verbal and written.
Familiarity with Client Relationship Managers (Ie. Salesforce, Method, Oracle etc.)
