JOB DESCRIPTION
We are seeking a full-time, experience Executive Assistant to support our very busy team with excellent administrative, Word, Outlook and other stellar administrative skills with a friendly, positive attitude to support the entire team of 7.
INFORMATION
Full time position, salaried position. Office hours are M-F, 8:30a-5:30p. Position may require some adaptably and flexibility.
Special consideration will be given to candidates who have prior experience working with real estate contracts, legal contracts or have experience in Smartsheets or Sharepoint.
You must have a superior work ethic and be dependable and trustworthy. It is necessary that you live within a reasonable commute to the Bee Cave, TX office.
RESPONSIBILITIES
· Adding contact, data and notes to CRM system and keeping our database updated.
· Heavy scheduling of group meetings and conferences with both internal and external members
· Filing documents using electronic filing system. We are a paperless office and it is essential that you keep files organized daily.
· Scan and organize paper receipts and other documents.
· Ability to create, edit and create new documents within PDF software such as AdobePro, Nitro or other similar.
· Creation, distribution and management of electronic signature documents.
· Conduct various administrative tasks as necessary: drafting letters, large mailings, track receipt of correspondence, track postage system and ensure postage is always available for use.
· Prepare, send and track off market letters, either via mail or email.
· Create and maintain spreadsheet of owners and off market letters by property and project.
· Reach out to brokers to gather information on listed properties, to define search requirements, track gathered information.
· Must be able to multitask, problem solve, and implement innovative processes within a fast-paced environment.
· You must have excellent organizational skills.
· Create and maintain template files to include language examples of various real estate documents.
· Zoning and other property research as requested.
· Assist with small projects and other administrative duties as needed. There may be some
· Develop new processes, and creating the appropriate documentation for such.
· Keep office stocked with supplies, drinks and snacks.
· Keep track of monitors, laptops, keyboards and all other equipment and replace and send out for repairs as needed.

· Demonstrated ability to prioritize and work well under stress in a multi-task environment and under strict deadlines. Experience working both as a team member and independently. We are a small office and all rely on each other to keep every single client happy every single day.

· Impeccable verbal and written communications skills.
· Dependable, confident, and organized.
· Excellent interpersonal and written and verbal communication skills as well as superior listening abilities.
· Advanced Microsoft Office Suite, Word, Teams, Sharepoint, Smartsheets and Outlook (testing will be administered).
· It is preferred that you have a Bachelor’s Degree.
· You must have a great sense of humor – we are a small group who all get along and enjoy each other’s company.
Local candidates only. You must reside in or live within a reasonable commuting distance from our office in Bee Cave, TX. This position will primarily be in the office every day.
A criminal history background check will be required for finalist(s) under consideration. Your skills will be tested as well as your ability to problem solve and communicate.
