PAR Systems | Installation Project Manager
Primary Location: St. Paul, Minnesota with 12-18 months onsite in Dallas/Ft. Worth, Texas

The Installation Project Manager (IPM) directly supervises installation of PAR’s unique Crane Systems and products onsite their customers nationwide. The IPM meticulously manages each installation phase to ensure seamless project delivery. Relying on their high caliber project management and leadership, the IPM is the liaison between PAR Systems and their customers.

What you will bring:
- Bachelor's degree (B.A./B.S.) or equivalent from a four-year College or University (preferred)
- PMP Certification (preferred)
- 3+ years of Project Planning/Management experience driving large ($30M+) highly regulated contracts
- Highly proficiency with Microsoft Office (Microsoft Project, Excel, Word, PowerPoint & Outlook)
- Ability to develop project plans, schedule projects, and coordinate project completion on time and budget
- Detailed time and material tracking of assigned personnel and subcontractors
- Meticulous Scope of Work management along with associated Change Order Management
- Experience with equitable adjustment requests on large highly regulated contracts
- Strong negotiation skills
- Responds promptly to customer needs
- Coordinate activities for one or more projects simultaneously
- Have excellent written and oral communication skills
- Exceptional organizational skills and attention to detail
- Ability to travel domestically
- Familiarity with electromechanical systems, hydraulics, mechanical systems, electrical systems and control software

What the Role Entails
The following are detailed performance objectives for the Installation Project Manager. When measuring overall aptitude and cultural fit, all candidates will be benchmarked using these standards.
Performance Objectives:
90-Days
- Project Onboarding and Initial Planning
- Gain comprehensive knowledge of the assigned installation project’s scope, requirements, and timeline, including understanding the unique technical, safety, and regulatory standards.
- Conduct thorough reviews of project documentation, including Scope of Work (SOW), client requirements, and regulatory guidelines.
- Meet with internal teams and client stakeholders to establish clear expectations and understand all project phases.
- Develop a detailed project schedule using Microsoft Project, with milestones and resource allocations for each phase.
- Produce an approved project schedule and resource allocation plan, along with a high-level project summary that demonstrates clear understanding of the project scope.
- Team and Client Relationship Establishment
- Build effective working relationships with the project team, subcontractors, and client stakeholders to ensure seamless communication throughout the installation.
- Host kick-off meetings with the project team, subcontractors, and client representatives to align objectives, timelines, and responsibilities.
- Establish and document regular communication protocols for project updates, issue resolution, and change requests.
- Complete initial meetings with all stakeholders and secure an approved communication plan, ensuring clarity on roles, responsibilities, and escalation pathways.
- Risk Assessment and Early-Stage Issue Identification
- Conduct a comprehensive risk assessment for the project and identify any early-stage issues that could impact timeline, budget, or project scope.
- Collaborate with the engineering and safety teams to identify potential risks related to safety, technical challenges, or regulatory requirements.
- Develop a risk mitigation plan and establish early-stage contingency plans for any identified risks.
- Complete and approve a risk assessment report, with risk mitigation strategies documented and shared with relevant stakeholders.
180-Days
- Project Execution and Quality Control
- Lead the on-site installation phase, ensuring all tasks are executed according to the project plan and meeting quality standards.
- Oversee daily operations of the on-site installation team, coordinating activities and resolving issues promptly as they arise.
- Ensure compliance with quality standards and conduct regular inspections to verify adherence to specifications.
- Track time and materials closely to stay within budget parameters.
- Complete 50% of the installation phase on schedule, with documented quality checks and no major deviations from the timeline or budget.
- Effective Scope and Change Order Management
- Maintain tight control over the project scope, handling any change requests or scope adjustments effectively to prevent budget or schedule impacts.
- Use meticulous tracking for any Scope of Work changes, negotiating change orders as necessary and securing client approval before any adjustments.
- Ensure all changes are properly documented and incorporated into the project schedule and budget.
- Process all change orders within 5 business days, with client approval and updates to the project plan reflecting the latest scope.
- Client Satisfaction and Mid-Project Review
- Ensure high client satisfaction by conducting a mid-project review and incorporating feedback into the project execution strategy.
- Schedule a review meeting with the client and internal stakeholders to assess project progress, quality, and client satisfaction.
- Address any client feedback and adjust project execution as needed to improve outcomes.
- Achieve positive client feedback during the mid-project review, with any action items from the client addressed within the following two weeks.
365-Day Goal:
- Successful Project Completion and Close-Out
- Oversee the final stages of the installation, ensuring all project deliverables meet quality standards and that the project is completed on time and within budget.
- Complete the installation phase, ensuring the system is fully operational and meets the client’s specifications and regulatory standards.
- Conduct final inspections and
obtain client sign-off on all project deliverables.
- Lead the project close-out, including handover of documentation, training, and client support plans.
- Successfully achieve project completion, with all deliverables meeting quality standards, on schedule, and within budget. Obtain formal client sign-off and positive feedback.
- Final Project Review and Lessons Learned
- Conduct a comprehensive post-project review to capture lessons learned and recommend process improvements for future installations.
- Hold a project debrief with the project team and key stakeholders to discuss successes, challenges, and opportunities for improvement.
- Document all lessons learned and provide recommendations to senior leadership for potential enhancements to project processes.
- Complete and submit a detailed project review report with actionable insights for future projects, contributing to PAR’s knowledge base for improved efficiency and client satisfaction.
- Client Relationship and Future Opportunities
- Strengthen client relationships and identify potential future collaboration opportunities, establishing PAR as a preferred partner.
- Schedule a follow-up meeting with the client to review the completed project, address any final concerns, and discuss future needs.
- Provide client contacts with post-project support information and maintain regular communication to foster a positive long-term relationship.
- Achieve high client satisfaction as indicated in follow-up discussions and identify at least one potential future project opportunity based on client needs.
