Thrive Pediatrics provides physical, occupational, and speech therapy, as well as specialized instruction for children birth to three years of age with developmental delay and disabilities. The overall role of the Intake Assistant is to work with your team to ensure:
*children aged birth-three receive the appropriate Early Intervention Assessment
*all parts of the documentation requirements are met according to the stipulated timelines
*assisting parents in completion and submission of required documentation
*ensuring parents are met with empathy and that we go the extra mile to make them feel welcome and successful in completion of their documentation.
*strong collaboration with your teammates in the intake program.
The above objectives are met by successful completion of the following tasks/skills:
Answering Phones timely
Periodic coverage of Office Manager’s phone over lunch hours
Professionally drafting and answering emails timely
Creating Files for clients in an Electronic Medical Record(EMR) system and Box
Confirming appointments
Creating, storing and sending parent and consent forms.
Ensuring all documentation is present prior to each assessment
Preparing paper copies of forms for parents to complete on date of appointment.
Photocopy medical records, socials, id cards and upload to box.
Professional follow up for documentation to local Regional Center as well as to any social service agency that is required.
Assist parents who are filling out forms, when needed
Help parents navigate zoom or download the app to be ready for appointments
Send out box link to
Assist with scheduling new referrals when needed.
Assist with rebooking cancelations
Use of Excel sheet to update team on EMR status and rebooked appointments.
Clear, direct communication with your manager if client was unable to complete appointment.
Sending out Trying to Reach You Letters
Emailing Parents Appointment Letters
Sending out & Uploading Consent forms
Fill in missing UCI #s and Caseworkers in EMR when updated in Excel
Job Requirements:
Education and/or Experience: High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
Mathematical Skills: Basic Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Reasoning Ability: High Skills: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Language Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively, and in a welcoming tone before groups of customers or employees of the organization.
