    Our Real Estate Law Firm is looking for a savvy, polished, and productive Intake and Sales Specialist who will focus on connecting us with our potential clients and providing people who contact us with the ultimate customer service experience. This position will handle critical tasks to ensure people who contact the Firm feel welcomed and that we care about helping them. This person will also work with our Customer Relationship Management system and our Senior Intake Specialist to develop a system to screen and qualify leads. This is a position that balances the art and technology of outstanding customer care. It requires the right combination of empathy, great communication skills, attention to detail, and technical understanding of our Customer Relationship Management system. Our CRM is called Lawmatics. It interfaces with our remote receptionist service. You would play an integral role in maintaining contact with potential clients and creating memorable experiences. This law firm is set for growth in 2025. This is a key position in the firm. It requires engagement five days per week, full-time. The law firm works remotely on a remote platform using cloud-based software. Responsibilities: This important position involves critical duties related to customer service as well as direct sales and attorney support. The basic duties of the position are: • Greeting prospects, clients, and referral sources by telephone and email. • Talking to potential clients to connect us with A+ clients who are a good fit for the firm’s real estate legal expertise. • Screening out unqualified leads to protect everyone’s time. • Scheduling the right clients with efficiency, setting the right expectations, and scheduling initial consultations and client appointments using our calendaring system. • Ensuring that our calendars are up-to-date and organized, reflecting important meetings, deadlines & reminders. • Following up with potential clients before and after their initial consultation. • Smoothing out the engagement process by sending attorney engagement letters, accepting payments, and making sure new clients feel welcomed. • Making regular contact with current clients and former clients to ensure we keep our relationship alive and find ways to continue to be of service. • Utilizing our Customer Relationship Management system, a modern cloud-based system called Lawmatics, to track potential clients through a pipeline. • Generating automated emails and invitations for events and marketing using Lawmatics. Qualifications: Experience and Skills Required: • Customer service experience is required. Great phone skills and real estate or legal experience are a plus. • You must be comfortable with a computer and demonstrate proficiency with common office applications (Word, Outlook email & calendar, Google, and so on). • You must have excellent spelling and grammar. • We will ask you to demonstrate a desire for accuracy, attention to detail, and efficiency, which are required to avoid mistakes that can cost clients (and us) dearly. • You MUST approach work and life with positivity and acceptance of differences and diversity. • If you walk through life seeing opportunities where other people see problems, you will do well here. • If you find yourself considering why things do not work instead of how they can, you will not be happy here. • We say there is “never a dull moment” at our office.
