In this role, your proficiency in managing intricate documentation and ensuring accuracy will play a pivotal part in our mission to restore fire and water damage and make it " Like it never even happened."

    Primary Responsibilities:

     Monitor the status of job files, ensuring a seamless flow throughout the entire process.  Supervise the status of job file audits, guaranteeing adherence to established standards.  Maintain and update work-in-progress (WIP) job files, ensuring they are organized and current.  Ensure strict compliance with client requirements, ensuring their needs are met with excellence.  Review and validate initial field documentation, maintaining a high level of accuracy.  Create preliminary estimates, drawing upon your analytical skills to provide precise assessments.  Coordinate daily job file activities, facilitating efficient and effective workflow.  Perform timely backups of job files, safeguarding critical data.  Maintain clear and effective communication with both internal and external stakeholders.  Generate comprehensive job file reports, enabling progress tracking and assessment.  Complete thorough reviews of job file documentation, ensuring readiness for upload and the audit process.  Execute meticulous job file audits, leaving no detail unchecked.  Finalize job files upon completion, verifying that all necessary steps have been taken.  Collaborate with and support other departments as needed, fostering a cohesive team environment.

    Position Requirements:

    A minimum of 2 years of administrative or office-related experience.

    Experience in constructing mortgage closing packets or packaging healthcare claims for an

    Insurance Company is highly relevant.

    Familiarity with estimate writing, job file processes, and quality assurance is a distinct advantage.

    Exposure to a service industry environment is a plus.

    Exceptional written and verbal communication skills, maintaining a courteous and professional tone.

    Polite, confident, and adept at delivering excellent customer service, including strong listening and questioning skills.

    Ability to remain composed and professional, even when faced with tense or stressful situations.

    Excellent organizational skills and meticulous attention to detail.

    Highly self-motivated and goal-oriented, taking proactive initiative.

    Proficient in multitasking and skilled at managing priorities effectively.

    Comfortable thriving in a fast-paced, team-oriented office environment.

    Proficiency in Microsoft Office applications (Outlook, Word, Excel).

    Willingness and capability to quickly learn new software tools, including Xactimate® and proprietary systems.

    High School Diploma or GED preferred.

    Successful completion of a background check in accordance with applicable law.

    Hours  40 hours/week, flexible to work overtime when required
