Summary SERVPRO of Rocky Mount & Tarboro is seeking a highly organized and proactive Job File Coordinator/Office Assistant to join our team. This multifaceted role is crucial in ensuring smooth office operations and providing exceptional customer service. The ideal candidate will be primarily responsible for maintaining our job files, answering and directing phone calls, greeting visitors, and managing incoming leads. Additionally, you will provide support across various office tasks, assisting other departments as needed. The Job File Coordinator will play a key part in keeping our job files organized, efficient, and responsive to both customer needs and internal franchise requirements.
Primary Responsibilities
Provides daily job file notes throughout the project using job tracking dashboard system
Accurately perform job file documentation and coordination with restoration and mitigation managers, as needed
Identifies general project requirements and/or constraints to bring the structure and contents to pre-loss conditions
Communicate with adjusters regarding scope and answer questions about the job as necessary
Be familiar with project requirements (National Account bulletins, Insurance company requirements, local agreements) that may be applicable to the project
Position Requirements
A minimum three years of office administrative experience
Detail oriented with an emphasis on project management and accurate note documentation
Proficiency in managing phones and resolving customers’ needs is also required
Confidence in Microsoft Office and project/job dashboard management software system
Experience in insurance, restoration, or construction industry is preferred
Skills/Physical Demands/Competencies This position requires some sitting for extended periods of time
