    Administrative Assistant Expectations

    • Your most important job will be keeping the owner on track to maximize his productivity.

    • You’re the organizational linchpin of our office, helping to keep things running smoothly and supporting the team.

    • You will be the frontlines of our phones, answering up to 20 phone calls a day during the busy season, and your friendly voice will be the first impression our customers have of Friend Construction, LLC.

    • You will be responsible for office administration tasks and projects, including client documentation, entering invoices, entering timecards, checking the mail, scanning, scheduling and reconciling accounts.

    • We’ll look to you to electronically document and manage email and phone correspondence in a timely and professional manner.

    • It will be your responsibility to make sure bills and payroll are entered on time, customer invoicing and other bookkeeping activities are kept up to date and completed daily.

    • You’ll support production by confirming appointments for estimates, creating estimate sheets, preparing the schedule for the next day, and keeping the owner on track with appointments.

    • You’ll be responsible for taking on any administrative work required to allow the owner and sales team to focus on growing the business.

    • You will schedule estimates and work closely with the owner to prevent him from overbooking himself or missing appointments.

    • You'll become the go-to person for ordering supplies and managing office housekeeping.

    • You will support our sales team and be a key player in customer documentation.

    • It’s your job to collaborate with the team on scheduling and act as a liaison between sales and operations.

    Administrative Assistant Skills & Qualifications

    We’re flexible on the number of years of previous experience for this role. We highly favor talent and interest. Some candidates may see this list and feel discouraged because they don’t match all the items.

    • Calendar management and email correspondence experience

    • A professional and warm phone and email presence

    • Strong organizational skills, both physical and electronic

    • Tech Savvy

    • Proficiency in Microsoft Word and Excel

    • Strong typing skills– no hen pecking

    • Previous construction experience is a plus!

    • Knowledge of QuickBooks or inventory management is a plus!
