Private Family Office is seeking a proactive and highly motivated Junior Personal Assistant to join the team in New York City, with the possibility for occasional extension to the Hamptons. The ideal candidate will have the ability to manage day-to-day tasks, support the Chief of Staff, and commit to 40 hours a week. This role will predominantly be based in our NYC office, with some opportunity for remote days working from home. The successful candidate should have interest in a career in private service, the drive to learn, adapt quickly, and demonstrate a strong work ethic. Preference given for commitment to the role, as we are looking for someone willing to stay for a minimum of 2-3 years; excellent opportunity for growth.
Responsibilities include, but are not limited to:
- Directly report to and support Chief of Staff in all day-to-day operations of UHNW Family Office
- Scheduling and organizing appointments, meetings, and events
- Provide support in both the office and remote settings, maintaining efficiency and productivity
- Assist in handling administrative tasks and providing support to staff members
- Collaborate with other personnel to optimize office operations
- Oversee and take initiative in managing tasks at distant properties from a base of operations
- Handling special requests and related duties as needed
- Help coordinate events and trip itineraries/packing lists
- Assist with gifting
- Miscellaneous additional time-sensitives tasks and requests as needed
Requirements:
- Strong command of English language, effective written and verbal communication
- Excellent references required from both current and previous employers
- Ability to exercise quick and accurate judgment and work well in fast-paced environment
- Effective and proactive problem-solver; able to analyze situations thoroughly in order to anticipate problems before they arise
- Exceptional organizational skills and dedication to responsibilities; prioritization and efficiency required at all times
- Adept in working in fast-paced, ever-changing environments where the utmost discretion and confidentiality are required
- Computer savvy with proficiency in both Mac and PC systems, and smartphones
- Poised and professional in both mindset and manner
- Flexibility in scheduling; willingness to work long hours and overtime as needed
- Valid driver’s license and passport are a plus, but not required
- Authorized to work within the United States
