POSITION SUMMARY

Lux Diagnostics is looking for a detail-oriented, proactive leader with C-Level experience in Healthcare Management to join our team as the Executive Personal Assistant to the CEO.
The ideal candidate for this position will have exceptional organizational and planning skills, strong communication skills, and proven experience working as a personal executive assistant. In this role, you will report to the Senior Director of Logistics and Operations and will directly support the Chief Executive Officer.
This role will help manage our CEO’s day-to-day logistics, provide support with calendar and time management, identify efficiencies, lead travel coordination, execute various personal assistant tasks and other related responsibilities as assigned. This role offers the opportunity to gain exposure to many aspects of our business and become a reliable, invaluable resource for to our CEO and greater team
To be successful in this role, you should be able to meet a constant stream of deadlines, be able to work both independently and collaboratively with different levels of employees and possess superior interpersonal skills. You will be a part of a multi-disciplinary team in a rapidly growing healthcare industry.
WHAT YOU’LL BE RESPONSIBLE FOR:
Initial responsibilities, providing Executive Support to CEO’s Strategy:
• Work cross-functionally to maintain calendars, prioritize schedules + deliverables, and keep everyone organized, accountable and informed.
• Compose and prepare internal and external correspondence.
• Plan, coordinate, and ensure schedules are followed and appropriately prioritized.
• Keep the executives well-informed of upcoming commitments, preparations, and responsibilities.
• Help to prioritize, escalate and follow-up on incoming issues and concerns, including those of a sensitive and/or confidential nature.
• Prioritize conflicting needs; handle matters expeditiously, and follow through on projects to completion, often with competing deadlines.
• Plan business meals, off-sites and trips, making travel arrangements.
• Take on special projects as needed
• Maintain a close, trusting relationship with the executives you support, their teams and the other executive assistants, honing an understanding of key departments, so you can provide catered, personalized support.
• Provide cross-functional support for other executive assistants, working together as a team.
Additional responsibilities once role transitions to solely support CEO in personal and executive manner:
• note - you will not be responsible for the below until the other EA returns and the other Executives have been offloaded
• Act as gatekeeper and manage evolving personal + professional schedule
• Prepare CEO for meetings and events by clarifying the purpose, pulling background materials, and preparing briefing documents
• Listen on calls, greet guests, and sit in on meetings as needed to take notes
• Manage agendas for CEO’s meetings, ensuring time to review prior to meeting and follow up on deliverables/actions to ensure timely completion of commitments made
• Screen and triage CEO’s inbox, answering, forwarding, flagging, and filing emails
• Maintain understanding of all relevant projects and commitments for CEO, anticipating needs and assisting accordingly
• Coordinate travel (domestic and international), including itinerary preparation; passport/visa processing and compiling documents
• Perform ad-hoc projects such as preparing reports, presentations, and research
• Perform administrative functions: printing, scanning, mailing, drafting + filing forms
• Enable the CEO to focus on Lux Diagnostics’ mission + vision through proactive engagement in and management of personal administrative responsibilities, identifying new ways to maximize CEO’s time and efficiency
• Serve as point of contact for CEO’s personal responsibilities, including making reservations, coordinating bookings + appointments, home services, board and advisor responsibilities, and more
• Run personal and business errands on CEO’s behalf

QUALIFICATIONS:
• Minimum 6+ years of experience in both personal and executive support functions
with a minimum of 3 years C-Level Support experience and 2 years in Healthcare Management
• Proficiency in key technology including GSuite, Zoom, Microsoft Office and other tool
