Role Description
The Executive Assistant and Office Manager is a full-time hybrid role located in Boston, MA, with flexibility for some remote work. The successful candidate will work in a multi-varied role to maximize organizational efficiency and productivity. The Executive Assistant and Office Manager will be the right hand to the CEO — able to anticipate needs, think critically, offer solutions to problems, and conserve the CEO’s time through effective prioritization. Confidentiality and understanding of the importance of working in the office of the CEO of utmost importance.
Job Responsibilities
Streamline processes and set up procedures to optimize the CEO’s time; act as a liaison between her clients, prospects, and employees.
Perform gatekeeping and calendar-management functions to stay ahead of the CEO’s schedule and anticipate her needs; manage travel arrangements.
Interface with HR Business Partner to coordinate and address HR and benefits issues; onboard/off-board employees; track PTO.
Support marketing and business development teams on event coordination and scheduling.
Take ownership of various aspects of business operations, addressing issues and business needs as they arise. Examples include disputing Amex charges, depositing checks, interfacing with IT service provider, etc.
Handle all office management responsibilities.
Required Skills
Minimum 5 years of experience.
Working knowledge of Microsoft Office (PowerPoint/Excel).
Strong ability to closely manage and monitor scheduling for busy CEO.
Must be a detail-oriented self-starter with a demonstrated ability to take action and make things happen.
Experience working with senior leadership teams.
Impeccable managerial and interpersonal skills.
Desire to learn and willingness to do whatever it takes to maintain successful client relationships.
Embrace and proactively manage ever-changing priorities.
Excellent written and oral communication skills as well as strong proofreading ability.
Strong time management skills.
Unflappable personality.
