    Lead Administrator & Executive Assistant

Supporting Central Operations for a Family of Small Businesses (Aviation, Engineering, Technical, Skilled & ArtisanTrades)

    Overview

Seeds of Creation LLC is the central administrative and management company serving a diverse family of affiliated small businesses, many of which operate in the aviation sector. These companies rely on Seeds of Creation to deliver core administrative, financial, and operational services that allow them to stay focused on what they do best. We follow the Entrepreneurial Operating System (EOS), and are looking for a Lead Administrator who thrives in a high-accountability, high-clarity environment.

This role blends hands-on execution with collaborative leadership. You will manage daily workflows across multiple operational areas—especially Human Resources, Process Management, and Executive Support—while coordinating with Office Managers, Administrators, Business Managers, and Executives across the organization to ensure alignment and follow-through. The ideal candidate is both a strategic thinker and a dependable doer—someone who gets things done while keeping others organized and moving in the right direction.

    Our Core Values

At the heart of our organization are three core values that guide everything we do—from daily tasks to long-term strategy. These values are not just ideals; they are behaviors we expect, reward, and live by across all companies in our network.

    Excellence

We pursue excellence with confidence and humility—owning our work, communicating effectively, and refusing to compromise on quality. We believe true excellence blends technical skill with continuous learning, personal responsibility, and a team-first mindset.

    Compassion (Others-First Service)

Our approach to compassion is action-oriented. We lead with empathy, selflessness, and teamwork—putting the needs of others first while maintaining high expectations. It’s about serving with care, offering support, and creating a positive impact—without enabling excuses or compromising accountability.

Purpose (You Were Made for This)

We believe each person was created for a purpose—and that includes their work. The best administrators don’t just organize calendars or run reports—they bring clarity, calm, and forward motion to everyone around them. They know why they do what they do, and they choose to serve others through their unique blend of insight, drive, detailed organization, and excellence.

If you’re someone who sees administration as more than a job—if it’s the work you were made to do—we want to hear your story. Show us how your sense of purpose aligns with this opportunity to lead, serve, and make an impact.

    Position Focus

    Administrative Leadership (Central Services)

Serve as the central administrator for Seeds of Creation, orchestrating and refining shared administrative services that support the entire family of businesses.

Coordinate with administrative professionals and business leaders across multiple entities to ensure smooth execution of HR, compliance, finance, and operations tasks.

Bring clarity and structure to recurring and one-off processes using EOS tools (e.g., L10 agendas, huddles, scorecards, accountability charts, VTO's, issues lists).

Lead with influence—coaching other administrative staff and managers to follow documented procedures, stay on track, and uphold performance standards.

    Human Resources Support

Drive recruiting efforts across companies, from job postings to interviews to onboarding.

Facilitate employee lifecycle processes such as I-9s, policy onboarding, training coordination, and offboarding.

Maintain and improve HR tools, templates, and compliance documentation.

Support performance management processes: employee check-ins, formal reviews, PIPs, and benefits facilitation.

    Executive Assistant to CEO

Provide direct support to the CEO of Seeds of Creation, including:

    Managing business and personal calendars

Booking travel (both commercial and privately operated flights)

Coordinating events, meetings, and strategic initiatives

Assisting with personal logistics such as home/auto maintenance

Understand and anticipate the CEO’s priorities, decision-making style, and schedule—demonstrating loyalty, discretion, and proactive thinking at all times.

Who You Are: If you recognize yourself in the qualities below, this may be a great fit...

An Analytical Operator: You love using data to solve problems, guide decisions, and create structure. You bring ideas backed by numbers, and you’re fluent in spreadsheets, dashboards, and logic-based thinking.

A Systems-Minded Leader: You don’t just get tasks done—you create systems so they can be done well by anyone. You value repeatability, documentation, and process integrity.

Tech + AI-Savvy: You confidently use modern tools (including AI like ChatGPT, Excel macros, process automation, and databases) to increase speed, reduce manual work, and enhance analysis.

A Clear Communicator: You tailor your communication to your audience, whether briefing an executive, supporting an office manager, or guiding a team through a change.

An EOS Enthusiast (or Willing Learner): You either have experience with the Entrepreneurial Operating System or are eager to become fluent in its structure and discipline.

    Preferred Qualifications

Bachelor’s degree in Business Administration or equivalent

3+ years of experience in an executive administrative or operations leadership role in a small to mid-sized business

Proficiency in HR, finance, and compliance workflows (especially within regulated industries like aviation)

Strong command of Microsoft Office, Google Workspace, web-based platforms, and process documentation tools

Demonstrated experience using or building internal documentation systems and shared resource databases

If you’re excited by the idea of being the administrative linchpin in a network of entrepreneurial, purpose-driven companies—and you love making sure nothing falls through the cracks—we want to meet you.
