Responsibilities Include:
As the Lead Office Administrator, you will oversee daily operations, manage patient care issues that arise during the day, and support the team of office staff and therapists in delivering the highest level of personalized therapy services.
This role is ideal for someone with a passion for pediatric therapy, alongside strong leadership and organizational skills.
Oversee the daily operations of the clinic, ensuring smooth workflow and patient satisfaction.
Help manage office calendar for staff time off requests.
Foster a collaborative and positive work environment focused on continuous improvement and patient-centered care.
Drive clinic growth through patient retention and assist with community outreach
Coordinate with intake coordinator & billing specialist.
Being optimistic and engaging to ensure the smooth running of the clinic with the day-to-day operations.
EMR system management.
Friendly, professional and caring attitude.
This position requires over the phone customer relations.
Schedule/re-schedule patient appointments.
Manage phone calls and correspondence; answer, screen and direct inbound calls with professionalism.
Clinic organization.
Keep patient records updated with all relevant information.
Keep track of office supply stock and order as needed.
Assist colleagues whenever necessary.
Welcome clients immediately arriving to the office.
Assist with special projects and perform any additional responsibilities requested or assigned by the owner/office manager.
Other tasks may include process patient intakes, collect payment, assemble materials, filing, check insurance benefits;
Skills/Qualifications:
Ability to lead others and become the go to person for the day-to-day operations
Administrative office experience preferred
Detail oriented and organized with emphasis on accuracy and completeness of tasks
Must be able to work independently with minimal supervision
Coachable and open to learn new processes
Previous experience in pediatrics a plus-but not required
Must be able to prioritize and multi-task in a fast-paced environment
Proficient with Microsoft office programs and google drive functions
Must have a reliable transportation
Must be able to pass a background check
Bilingual English/Spanish, a plus
Strong verbal and written communication skills as well as ability to work in a team environment
Carry a positive attitude with strong teamwork and communication skills
Exceptional customer service skills
This position would require coverage at least 2 days per week until 6:00pm M-TH
