Job Overview: The Leasing Agent plays a crucial role in ensuring a seamless experience for tenants from the moment of first contact through the entire lease lifecycle. This position covers a wide range of responsibilities, including marketing available units, screening and leasing to new tenants, rent collection, and handling tenant issues. Additionally, the Leasing Agent is responsible for managing legal aspects such as evictions when necessary, working to maintain high occupancy rates and positive tenant relations.
Key Responsibilities:
Advertising and Marketing:
Create and implement marketing strategies to advertise available units through online listings, social media, and traditional channels.
Regularly reviewing active listings and ads including data sources to confirm accuracy
Following up with all leads in a timely fashion
Conduct property tours and respond to inquiries, showcasing the benefits of living at the property.
Leasing and Tenant Screening:
Manage the full leasing process from setting and confirming appointments, showing units, gathering applications, screening potential tenants, and preparing lease agreements.
Ensure compliance with local housing laws and company policies during the leasing process.
Move-In/Move-Out Coordination:
Coordinate move-ins and move-outs, ensuring a smooth transition for tenants.
Conduct move-in inspection to ensure the highest tenant experience.
Perform move-out inspections with maintenance supervisor, documenting any issues or damages to charge back to the tenant and prepare the turn list for the unit turnover.
Rent Collection & Financial Management:
Ensure timely rent collections by maintaining accurate tenant records and following up with any late payments.
Run scheduled weekly reports to ensure all necessary notices are sent in a timely fashion and scheduled court filings can be implemented
Work with tenants to create payment plans when needed, and maintain detailed records of all financial transactions.
Record all communication in tenants account
Tenant Relations and Tenant Retention:
Serve as the primary point of contact for tenants, responding promptly to questions or complaints.
Mediate disputes between tenants when necessary to foster a positive community environment.
Evictions and Legal Compliance:
Run regular scheduled reports to ensure balance due notices and 10-Day notices are sent in a timely fashion.
Manage the eviction process for tenants who default on rent or violate lease terms, working with legal counsel when necessary.
Ensure compliance with local eviction laws and guidelines while maintaining accurate documentation throughout the process.
Handle all the court filings, including Landlord Tenant Complaints, Possession and Lockouts with the Sherriff or constable.
Reporting & Administration:
Maintain up-to-date records of all leasing activities, rent collection, and legal actions.
Provide regular reports to management on occupancy rates, delinquency, and tenant satisfaction.
Qualifications:
Experience: Prior experience in property management or leasing, with a demonstrated ability to manage the full tenant experience.
Skills:
Strong communication and interpersonal skills to foster positive tenant relations.
Excellent organizational and time management abilities.
Proficiency with property management software.
Ability to learn and adapt new software and mobile apps
Knowledge: Understanding of fair housing laws, leasing regulations, and eviction processes.
Sales Ability: Comfortable with sales techniques, including upselling additional amenities and/or premium units.
Positive Attitude: Be a team player, maintaining positivity in all interactions with coworkers, tenants, vendors etc.
Organizational Skills: Be super organized while multi-tasking on several open files and projects.
Quick Learner: Tech Savvy to learn and adapt new software and mobile apps. Study all properties and units and develop a strong grasp on all units, unit types, properties, structures, locations etc.
Work Schedule: This is a full-time position with some weekend and evening work required based on tenant needs and leasing demands.
