Role Overview
Supports attorneys with tasks such as managing marketing contacts, preparing documents, electronic filing, and data entry. Provides calendar and travel management and frequently interacts with clients. Organizes and maintains files according to attorney preferences.
Responsibilities
- Document Preparation: Prepares and edits legal documents, maintains firm's electronic files, and distributes correspondence.
- Scheduling: Manages appointments, coordinates meetings, reserves conference rooms, and arranges catering.
- Client Service: Handles phone calls, messages, and shares information with clients and team members.
- Time Entry/Billing: Inputs time entries, performs conflict checks, prepares billing, and submits checks to Accounting.
- Filing: Maintains organized files, retrieves documents, and archives per firm policy.
- Travel & Expenses: Arranges travel and processes expenses.
- Invoices & Mail: Processes invoices, manages mail, and coordinates deliveries.
Qualifications
- Associate's degree required; Bachelor's preferred.
- 1-2 years of administrative experience; 2-5 years in legal secretarial work REQUIRED
- Proficiency in Microsoft Office.
- Strong organization, communication, and multitasking skills.
