This is an in-office position based in the San Diego, CA area. The ideal candidate will have 1-3 years of experience in an administrative or office support role, preferably within a legal environment. Responsibilities: • Administrative Operations: Provide comprehensive administrative support, including document management, data processing, and correspondence handling, with a focus on legal documentation and case files. • Client and Communication Management: Serve as the first point of contact by professionally handling phone inquiries, greeting visitors, and fostering a welcoming office environment. • Scheduling and Calendar Coordination: Optimize time management for attorneys and staff by scheduling meetings, appointments, and engagements efficiently. • Document Production and Quality Control: Prepare, review, and refine legal documents, reports, and presentations, ensuring compliance with legal standards and organizational requirements. • Database and Records Management: Maintain and update confidential client databases and case management systems with precision and discretion. • Procurement and Inventory Control: Oversee office supply inventory, ensuring adequate stock levels to support uninterrupted business operations. • Mail and Logistics Coordination: Manage incoming and outgoing mail, including handling sensitive legal correspondence and ensuring timely deliveries. • Project and Case Support: Contribute to legal case preparation and special projects by providing research, administrative assistance, and operational support as needed. • Workplace Organization: Maintain an orderly and professional office environment, ensuring that common areas and client-facing spaces reflect a high standard of business excellence. Qualifications: • High school diploma or equivalent. • 1-3 years of experience as an administrative assistant or office support. • Bilingual in English and Spanish (required). • Excellent written and verbal communication skills. • Strong organizational skills and attention to detail. • Discretion and the ability to handle confidential information. • Ability to work independently and work under pressure with tight deadlines. • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) Compensation: $20 - $23 hourly
