NY/NJ firm seeking LEGAL ADMINISTRATIVE ASSISTANT / PARALEGAL for our Garden City office.
Solo practitioner is seeking a legal assistant with proven experience to work independently and collaboratively in a team environment. the Assistant must be willing to be committed to the office and the clients. The successful candidate will work directly with the Senior Attorney and Junior Associate in a variety of administrative tasks. The position is full time and in-person. The Assistant must have strong interpersonal, organizational, written and communication skills. Must have the ability to effectively handle sensitive and confidential information. The Assistant must have a strong familiarity with New Jersey e-filing systems: E-Courts, JEDS, Municipal Court Searches and New York systems: EDDS and NYSCEF. Must be comfortable interacting with clients in person, email and phone. Duties include but are not limited to:
Answering a high-volume phone and greeting clients.
Client intake which involves gathering detailed information on potential cases and providing them with the information needed to proceed with a consultation.
Collating and organizing mail for the attorney.
Directing calls to the appropriate party and emailing messages in real time.
Timely respond to emails, knowing when to prioritize certain tasks.
Prepare Notice of Motions, Order Forms, CLIS forms and draft Divorce Complaints, Summons with Notices, Note of Issues, etc.
Handle all e-filing of necessary documents, including Notice of Appearances, Adjournment Requests, Briefs, Exhibits, etc.
Heavy calendar management, if a scheduling conflict emerges, you must be able to seek consent from opposing parties and file appropriate adjournment requests via various e-filing systems (e-courts, EDDS, NYSCEF, JEDS, etc.).
In charge of scheduling court dates (avoiding potential scheduling conflicts), consultations, and virtual jail visits (both via email and NYC DOC video teleconferencing website).
Create and maintain filing systems, both electronic and physical.
Keeping track of discovery, both media and printed, for all client files.
Make copies of all paper and media discovery for clients (detained and non-detained).
Provide administrative support and enhance office effectiveness.
Keep track of office supplies to ensure items are always fully stocked (i.e. copy paper, toner, USB’s, envelopes, etc.)
Maintain account receivables for client’s monthly payments.
Sorting documents for discovery.
Perform standard secretarial duties: filing, copying, scanning, emailing and maintaining office.
Highly knowledgeable of Microsoft Office, Google Drive, Clio, Law Pay, My Case NY & NJ e-filing systems, Zoom and Microsoft Teams.
