We are looking for an experienced legal assistant who can help the busy attorneys and paralegals at our law office assist our clients. You’ll be responsible for managing office correspondence, including answering phone calls and emails, arranging meetings and travel, and ensuring our legal team is aware of upcoming deadlines. You’ll also assist with preparing legal documents and contracts, and perform any other tasks as needed to ensure our firm is operating efficiently. Responsibilities: • Make travel arrangements, schedule meetings and appointments for the team, such as depositions, and coordinate with outside vendors for events • Process client billing properly using daily time records with help from the accounting department • Help with creating a variety of litigation documents, including pleadings, motions, subpoenas, affidavits, contracts, and briefs for case preparation, and proofread documents when necessary • Perform legal research, as needed, with help from attorneys and paralegals • Handle office correspondence and administrative tasks such as responding to emails and phone calls, communicating with opposing attorney offices, taking dictation, and letting the team know about upcoming deadlines • Manage office correspondence and administrative tasks such as answering phone calls, communicating with other attorney offices and 3rd parties, e.g., financial advisers, responding to emails, and reminding the team of upcoming deadlines • Ensure client billing is processed properly, including the production of pre-bills and the preparation of invoice cover letters • Review the status of outstanding invoices and follow up with clients on deposit requests • Scan documents and incoming communication, print documents • Assemble client estate planning portfolios • Attend client signing meetings as a witness • Organize and maintain our owner's inbox and the firm's filing system • Draft correspondence and (occasionally) simple estate planning documents • Undertake other duties as needed to ensure the firm operates efficiently • You will be working on many tasks and cases concurrently, sometimes over long periods of time. We expect you to keep track of key dates, keep the right people informed, and prioritize your time so that we never miss a deadline • You should treat a client, case, or task at 4:30 pm on Friday with the same care and compassion as one on Monday morning at 9 am Qualifications: • Must be able to type at least 50 WPM • Ability to comfortably use all Microsoft Office products • Able to meet demanding deadlines in a fast-paced environment • Organizational skills and communication skills are necessary for this position • At least 1-2 years of previous experience in a law firm setting performing administrative tasks • The ideal candidate will have a growth mindset, an ability to relate to people going through difficult times, and a good sense of humor. Accuracy and attention to detail are required to avoid mistakes that can cost clients dearly • Many clients are dealing with stress and anxiety. You should be empathetic and help put them at ease • We are looking for someone who can hit the ground running. We are not looking to train a Legal Assistant • This is a full-time position working within a physical office, not remotely.
